DESCRIPTION:
Reporting directly to the Operations Lead Analyst, the Plant Administrator plays a key role in supporting daily operations through accurate budgeting, financial tracking, and administrative coordination. This position ensures smooth workflows, timely documentation, and reliable support for plant leadership.
KEY ACCOUNTABILITIES/RESPONSIBILITIES:
Responsibility Area #1 – Budget Planning & Allocation
- Input and implementation of budgets per commercial operations.
- Monitor ongoing expenses across operations, identifying areas for cost optimization without compromising quality or service delivery. Ensure budget compliance while striving for cost-effective solutions to meet both short-term operational needs and long-term goals.
Responsibility Area #2 - Stakeholder Communication & Reporting
- Work internally with customers and peers to implement strategies to mitigate financial risks, ensuring resources are available to respond to unforeseen challenges.
- Review and prepare month-end financial information, review invoices, labour equipment material sheets (LEM’s), accruals, and provide detailed variance analysis and explanations.
Responsibility Area #3 - Financial Planning & Forecasting
- Conduct thorough financial forecasting monthly and involvement with planning to anticipate changes that could impact budget requirements.
- Update and adjust the maintenance forecast based on planned work and communicate any changes or updates related to assets.

Responsibility Area #4 – Requisition and Invoice Management
- Manage the submission of requisitions and the completion of receipts for invoices related to assets.
- Ensuring all procurement requests are accurately documented, processed in a timely manner, and aligned with budgetary guidelines.
- Verify that invoices are properly matched with corresponding receipts and purchase orders, ensuring compliance with company policies and financial controls.
- Work collaboratively with vendors, internal teams, and finance to address any discrepancies and ensure prompt payment.
- Maintain detailed records of all transactions for auditing and financial reporting purposes.
Responsibility Area #5 – Program Efficiency and Skills
- Skilled in using Oracle, Inspyrus, Excel, and Word to efficiently manage and analyze data, streamline processes, and generate reports.
Responsibility Area #6 – Safety and Compliance
- Participate and contribute in monthly safety meetings, actively engage in ERP (Emergency Response Plan) exercises, and participate in hazard identification initiatives to ensure a safe and compliant work environment.
- Create hazard identifications as required.
- Review Intelex system and provide financial suggestions for hazard ID mitigation, ensure funds are being categorized from the budget.
Responsibility Area #7 – Support and Coordination
- This role also encompasses a variety of tasks in support of site leadership.
- Provide administrative coverage relief when required for items such as time keeping, permit tracking, waste manifests and other essential operational duties as assigned.
REQUIRED KNOWLEDGE/SKILLS/ABILITIES:
- Good oral and written communication skills.

- Accurate with numbers, and proficient in spelling and grammar.
- Must have strong record keeping, documentation and organizational skills.
- Must be able to deal effectively and courteously with internal and external customers.
- Must be able to work under minimum supervision.
- Experience or knowledge in Microsoft Office 365 Apps. Outlook, Excel, Word, Power Point, and Teams).
- Well-developed interpersonal, communication and organizational skills.
- Flexibility, initiative, resourcefulness, and the ability to work as an effective team member.
- Excellent written and verbal communication skills, the ability to prioritize conflicting demands, and the ability to present information to field operations and company management in a simple and concise manner.

This position is covered under a collective agreement, and hiring will be conducted in accordance with union requirements.
The hourly rate for this position is between $33.95 to $36.02.
