What Is The Opportunity?
Reporting to the Project Manager, the Document Control Manager will be a key member of the project team. The successful candidate will be responsible for defining and implementing processes, policies and procedures in order to establish document management best practices. They will also support operations through the effective management of all project correspondence through the life cycle of the project, in compliance with client requirements.
What You'll Do Here:
Create document control guidelines and responsibilities and ensure these are executed and followed appropriately
Implement a document management team and system in line with the needs of the organization including but not limited to project initiation for various projects within the organization
Define and implement the tools, systems, policies and procedures necessary to effectively manage document control requirements
Act as the main point of contact for document control with internal and external stakeholders
Establish document management best practices and opportunities for continuous improvement
Develop and implement work processes and procedures such as Operations and Maintenance Document Review Control, Design/Engineering Document Review Control, Correspondence Control, Contract or Vendors Data Management, Standards Management, Project Standards and Document Numbering
Design and implement detailed work instructions to support the approved procedure
Ensure all document management equipment (hardware, software, etc.) is effectively maintained
Monitor staff performance and quality of work through providing coaching/mentoring and training
If required, set up hard copy filling system with wet signature hard copy filing
Champion the development of improved document workflows to reduce timelines
What You Bring to the Team:
10+ years of Document Control experience, or an equivalent combination of education and related experience
A minimum of 10 years’ document control experience in a construction project/site environment with a minimum 5 years’ experience in a manager level document control role position on a major, complex infrastructure project
Post-secondary school education in Civil Engineering or Business Administration; or acceptable combination of education and previous experience is considered an asset
Proven experience and ability in all aspects of the document control function (design, implementation & management), including document management/control systems, processes, procedures, software tools
Capacity to determine program objectives / requirements to develop standards / procedures for diverse engineering and construction document management activities
Experience working in a fast paced and startup project environment with demonstrated capability of working under tight timelines
Knowledge of civil engineering, operations and construction terminology is an asset
Leader in using computerized Document Management applications/Electronic Document Management Systems (EDMS)
Experience implementing and using Innate an asset
Highly proficient with Microsoft Office Suite and knowledge of InEight is an asset
Wage - $90,000 - $110,000 per annum
