Le ou la stagiaire étudiant(e) bilingue offre un soutien administratif, en communication et en services aux étudiants, tout en travaillant principalement au bureau du Bac, un bureau satellite des Services aux étudiants. La personne retenue participera à diverses activités liées à l’administration, à l’admission, à l’inscription, aux communications et à l’organisation d’événements, contribuant ainsi au bon fonctionnement du bureau du Bac ainsi que de l’ensemble de l’équipe des Services aux étudiants.
Ce poste étudiant occasionnel offre une excellente occasion d’acquérir une expérience pratique dans un milieu postsecondaire axé sur les services aux étudiants. Il permet de développer des compétences en administration, en organisation, en service à la clientèle et en communication, tout en contribuant au soutien des étudiantes et étudiants actuels ainsi que des futurs étudiantes et étudiants.
Administration de bureau
- Fournir un soutien administratif général au bureau du Bac et aux Services aux étudiants.
- Planifier des réunions et contribuer à la gestion de l’agenda de la direction.
- Commander les fournitures de bureau et veiller à ce que les bureaux et les salles de classe disposent du matériel nécessaire.
- Effectuer le classement, la numérisation, la photocopie, la saisie de données ainsi que d’autres tâches administratives générales.
Soutien aux services aux étudiants et à l’administration
- Répondre aux demandes de renseignements générales des étudiantes et étudiants actuels et futurs, en personne, par téléphone et par courriel, et diriger les demandes plus complexes vers le personnel approprié.
- Traiter les formulaires courants et apporter un soutien à la préparation de la documentation liée à l’inscription.
- Créer et tenir à jour les dossiers étudiants conformément aux lignes directrices en matière de gestion des documents.
- Préparer la correspondance courante et les lettres aux fins de révision.
The bilingual student intern provides administrative, communications, and student services support while working primarily in the Bac Office, a satellite office of Student Services. The successful candidate will assist with a variety of activities related to administration, admissions, registration, communications, and event coordination, contributing to the effective operation of both the Bac Office and the broader Student Services team.
This casual student position offers an excellent opportunity to gain practical experience in a post-secondary student services environment. It provides hands-on experience in administration, organization, customer service, and communications while supporting both current and prospective students.
Office Administration
- Provide general administrative support to the Bac Office and Student Services.
- Schedule meetings and assist with managing the leadership team’s calendar.
- Order office supplies and ensure that offices and classrooms are stocked with the necessary materials.
- Perform filing, scanning, photocopying, data entry, and other general administrative duties.
Student Services and Administrative Support
- Respond to general inquiries from current and prospective students in person, by phone, and by email, referring more complex inquiries to the appropriate staff member.
- Process routine forms and assist with the preparation of registration-related documentation.
- Create and maintain student records in accordance with records management guidelines.
- Prepare routine correspondence and letters for review.
Position Requirements
- Diplôme de 12e année, complété par la réussite d’un programme reconnu en administration des affaires, combiné à un minimum de trois années d’expérience dans un environnement de bureau; une combinaison équivalente de formation et d’expérience pourra être prise en considération.
- Être actuellement inscrit(e) comme étudiant(e) à l’Université de Regina et maintenir une bonne situation académique.
- Maîtriser le français et l’anglais, tant à l’oral qu’à l’écrit, et posséder d’excellentes aptitudes en communication.
- Démontrer une expérience en service à la clientèle ainsi que de solides habiletés interpersonnelles.
- Faire preuve d’un excellent sens de l’organisation et d’une grande attention aux détails.
- Maîtriser la suite Microsoft Office ainsi que d’autres outils numériques.
- Être capable de gérer plusieurs tâches à la fois, d’établir les priorités et de respecter les échéances.
- Faire preuve d’initiative, de curiosité et d’une approche proactive de la résolution de problèmes.
- Être capable de travailler de façon autonome tout en collaborant efficacement au sein d’une équipe.
- Représenter la Faculté d’éducation et les Services aux étudiants avec professionnalisme, enthousiasme et un engagement envers l’excellence du service.
- Grade 12 supplemented by the successful completion of a recognized business course combined with a minimum of three years in an office environment; a suitable combination of education and experience may be considered.
- Currently enrolled as a student at the University of Regina and in good academic standing.
- Fluent in both French and English, with excellent written and verbal communication skills.
- Demonstrated customer service experience and strong interpersonal skills.
- Excellent organizational skills with exceptional attention to detail.
- Proficient in Microsoft Office and other digital tools.
- Able to manage multiple tasks, prioritize work effectively, and meet deadlines.
- Demonstrates initiative, curiosity, and a proactive approach to problem-solving.
- Able to work independently while collaborating effectively as part of a team.
- Represents the Faculty of Education and Student Services with professionalism, enthusiasm, and a commitment to service excellence.
Physical Demands Pay Grade CUPE Phase 3 Salary Range $23.25 - $27.91 hourly Status Term Work Hours
Il s’agit d’un poste occasionnel dont les heures de travail varieront selon les besoins. Le poste comporte environ 12 à 16 heures de travail par semaine.
This is a casual position with hours that will vary based on operational needs. The position will average approximately 12 to 16 hours per week.
