Position Summary
The Supply Chain Coordinator is the single supply chain point of contact for an assigned portfolio of JointCraft's clients. Reporting to the VP Supply Chain, this role owns the PO-related and inbound side of the supply chain flow; converting client purchase orders into sales orders, generating product specifications, building products and BOMs in Odoo, coordinating inbound deliveries, confirming manufacturing-readiness, and working with the manufacturing team to schedule production for assigned clients. The Supply Chain Coordinator is also the client's main supply chain voice during weekly and ad-hoc client calls — providing clear, accurate status updates on orders moving through the system. The Supply Chain Coordinator's focus is on everything that happens up to the point of product being manufactured and release-ready.
Key Responsibilities
Client Ownership, PO Management & Status Communication
- Act as the primary supply chain contact for an assigned portfolio of clients across all inbound activity.
- Review client Purchase Orders and create accurate, complete Sales Orders in Odoo.
- Liaise directly with Sales and clients to clarify order details, pricing, and timing before Sales Order creation.
- Provide clear, accurate status updates on assigned-client orders during weekly and ad-hoc client calls.
- Maintain proactive client-facing communication on order status, exceptions, and timing changes.
Product Specifications & BOM Build
- Generate product specifications in collaboration with clients for new and existing SKUs.
- Build products and Bills of Materials (BOMs) within Odoo, ensuring alignment with product specification.
- Flag spec or BOM gaps to QA and the VP Supply Chain for resolution.
Inbound Planning & Documentation
- Liaise with clients on inbound delivery timing of cannabis materials and components.
- Generate $0 Purchase Orders for inbound shipments.
- Work with clients to collect required documentation in advance — packing lists, CoAs, CoM/CoC.
- Work with the Shipping and Receiving Coordinator to ensure inbound shipments are known and scheduled.
- Work with the receiving team to identify any discrepancies related to inbound deliveries and escalate to client or management.
Manufacturing Readiness & Production Coordination
- Confirm sales orders are "manufacturing-ready" — specs, BOMs, materials, and documentation in place before handoff to Manufacturing.
- Coordinate with Manufacturing on planned production start dates and expected lead times for assigned-client runs.
- Identify constraints or risks that could impact production timing and surface them early to the VP Supply Chain.
- Work with the Shipping and Receiving Coordinator to populate sales orders with correct lot and quantity of finished goods, and any by-products to be returned to the client.
QA Release Coordination
- Work with QA to confirm release criteria and timing for both incoming materials and finished goods.
- Provide QA with all required documentation and context to enable timely, compliant release.
- Track release status of finished goods and surface holds, delays, or risks that could impact downstream timing.
- Communicate release status and risks to the VP Supply Chain, Manufacturing, the Shipping and Receiving Coordinator, and Sales / client as appropriate.
Required Qualifications
- 2+ years of experience in a supply chain coordination, order management, or logistics role within a manufacturing environment.
- Demonstrated experience with an ERP or order management platform.
- Strong attention to detail and a high standard for documentation accuracy.
- Comfortable acting as a client-facing point of contact; clear, professional written and verbal communication.
- Strong cross-functional coordination skills — able to keep Sales, Manufacturing, QA, and Warehouse aligned on a shared order plan.
- Ability to manage multiple concurrent client portfolios, hit deadlines, and maintain accuracy under pressure.
- Proficiency in Microsoft Office Suite, especially Excel for reconciliation and tracking.
- Must be 19+ years of age and legally eligible to work in Canada.
- Successful completion of a criminal record check.
Preferred Qualifications
- Direct experience with Odoo (CRM and ERP), especially Odoo 18; experience building BOMs and managing product master data within Odoo.
- Cannabis industry or other regulated manufacturing experience.
- Experience with B2B contract manufacturing or co-packing client relationships.
- Familiarity with consignment inventory workflows and $0 PO processes.
- Experience generating product specifications in collaboration with clients.
- Comfort presenting and updating status to clients on regular calls.

Pay: $60,000.00-$65,000.00 per year
