Job Title: Strategic Sales & Proposal Coordinator
Job Summary
The Strategic Sales & Proposal Coordinator plays a critical role in supporting Crozier Mechanical’s multi-trade project delivery. This position is responsible for managing the complete quotation lifecycle across CMT Mechanical Services' Service, Turn-Key Projects, and Special Projects divisions. This role serves as the central coordination point between technicians, service managers, project managers, estimators, operations personnel, and clients to ensure all quotations and proposals are accurately prepared, professionally presented, actively followed up on, and effectively tracked through to award.
The primary objective of this position is to maximize quotation conversion rates by ensuring opportunities are entered into Fieldpoint accurately, submitted promptly, consistently followed up on, and maintained throughout the entire sales cycle.
This role also provides critical administrative and coordination support to the Capital Estimation Team by managing RFQ documentation, procurement portals, addenda, and tender-related communications.
Key Responsibilities
Quotation Administration & Coordination
· Receive completed quotation templates, scopes, pricing information and supporting documentation.
· Review quotations for completeness and accuracy.
· Enter and maintain quotations within Fieldpoint.
· Coordinate revisions, updates and scope changes.
· Generate and distribute finalized quotations.
· Maintain document control and version management.
· Manage quotations from creation through award or closure.
· Monitor active quotations and maintain status updates.
Fieldpoint Administration
· Maintain accurate quotation records within Fieldpoint.
· Update opportunity statuses and maintain client records.
· Generate reports, dashboards and pipeline summaries.
· Produce weekly and monthly activity reports.
· Monitor quotation volume, conversion performance and aging opportunities.
Client Communication & Follow-Up
· Conduct systematic follow-up on all submitted quotations.
· Confirm receipt and obtain status updates from clients.
· Record all client interactions within Fieldpoint.
· Coordinate meetings and discussions between clients and operations teams.
· Support customer retention through proactive communication.
Sales & Opportunity Support
· Support Service Managers, Project Managers and Operations Leadership in managing opportunities.
· Maintain a healthy quotation pipeline.
· Support growth initiatives across Plumbing, HVAC, Electrical, Sheet Metal, Mechanical Service and Special Projects.
· Prepare professional quotation and proposal packages.
Capital Estimation Team Support
· Create and maintain JQ folders for RFQ and tender opportunities.
· Monitor procurement portals and track addenda, bulletins and revisions.
· Distribute tender updates to estimating personnel.
· Maintain project document control and ensure all RFQ changes are tracked.
Qualifications & Skills
· 3–5 years of experience in sales coordination, estimating support, service administration, or project coordination.
· Experience within HVAC, Mechanical, Electrical, or Construction industries preferred.
· Strong proficiency with Microsoft Office and CRM/ERP systems (Fieldpoint preferred).
· Excellent communication, organization, and time management skills.
· Strong attention to detail and ability to manage multiple priorities.
