About the Role
We're looking for an organized, hands-on Service Manager to run the day-to-day flow of our shop on the administrative side. You'll be the hub between technicians, suppliers, clients, and our finance department; making sure repair orders move smoothly from estimate to invoice. This is a great fit for someone who's detail-oriented and comfortable juggling multiple systems.
This is a fixed-term position of approximately 20 months, covering an employee's maternity/parental leave. The initial weeks will include training and handover with the current Service Manager. We're happy to discuss the details further with shortlisted candidates.
What You'll Do
- Create repair orders for the technicians; generate invoices once work is complete and email them to clients.
- Handle the full estimate-to-invoice cycle in collaboration with Finance: send estimates for client approval, collect PO numbers, and attach them to the corresponding invoice.
- Receive invoices from suppliers, match them to the correct work orders, and attach them accordingly.
- Manage sticker and safety documentation through the DriveOn portal.
- Lead or participate in the daily shop meeting to coordinate across departments; reviewing what got done, what's outstanding, what's waiting on parts, and rescheduling as needed.
- Serve as the main point of contact for a major client, coordinating equipment drop-off and pickup.
- Answer phones, book in service appointments, and field customer questions.
- Conduct monthly inventory counts/audits alongside management to ensure inventory matches records.
Skills and Qualifications
- Experience with Mitchell 1 (repair orders, invoicing) preferred.
- Comfortable with Microsoft Teams, Excel, and Outlook.
- QuickBooks experience.
- Strong invoicing and general bookkeeping/admin skills.
- Basic automotive and heavy equipment knowledge (able to understand repair terminology and communicate with technicians).
- Experience with Fishbowl or similar inventory management software is a plus.
- Excellent communication skills; you'll be talking to technicians, clients, suppliers, and finance daily.
- Strong organizational skills and ability to manage multiple work orders and deadlines at once.

Pay: $25.00-$30.00 per hour
