Dispatch Manager / Operations Coordinator

About the Role
All Canadian Janitorial Ltd. (ACJ) is seeking an experienced, organized, and detail oriented Dispatch Manager / Operations Coordinator to oversee daily scheduling, dispatching, and operational coordination for our property services division. This role supports a wide range of services including janitorial, maintenance, handyman services, restoration, emergency response, service calls, carpet cleaning, floor care, pressure washing, and specialty projects.
The ideal candidate has experience in property services, facilities maintenance, restoration, janitorial operations, or a similar service-based industry. They thrive in a fast-paced environment, can manage multiple priorities simultaneously, and are committed to delivering exceptional customer service while maximizing field productivity and efficiency.
Key Responsibilities Scheduling & Dispatching
- Coordinate and dispatch technicians, cleaners, maintenance staff, subcontractors, and project crews.
- Optimize daily schedules, routes, and staffing assignments (+/- 10 field staff)
- Monitor work progress and adjust schedules as required due to emergencies, weather, delays, or changing customer needs.
- Coordinate after-hours, weekend, and emergency service calls.
- Ensure field teams have all required information, access details, equipment, materials, and documentation before arriving on site.
Customer Service & Communication
- Serve as the primary point of contact for customers regarding scheduling, service updates, and work requests.
- Respond promptly to service inquiries and coordinate estimates, site visits, and follow-up appointments.
- Maintain professional communication with property managers, condominium boards, commercial clients, residential customers, and subcontractors.
- Address customer concerns and coordinate resolution with operations management.
Operations Coordination
- Support daily operations across janitorial, maintenance, restoration, handyman, carpet cleaning, floor care, and specialty service divisions.
- Track service requests from intake through completion.
- Ensure work orders are complete, accurate, and properly documented.
- Coordinate equipment, vehicles, inventory, supplies, and subcontractor requirements.
- Assist with project planning and resource allocation.
Administrative Duties
- Maintain scheduling and operational records using company software platforms.
- Prepare work orders, service reports, quotations, and customer correspondence.
- Review field reports, photos, timesheets, and job completion documentation.
- Assist with payroll verification and job costing.
- Generate operational reports and performance metrics.
Team Support & Leadership
- Supervise dispatching and scheduling activities.
- Provide guidance and support to field staff and subcontractors.
- Monitor productivity, attendance, and service quality.
- Assist with onboarding and training of new team members.
- Promote a positive, safety-focused, and customer-oriented work environment.
Qualifications Required
- Minimum 3 years of experience in dispatching, scheduling, operations coordination, property services, facilities management, restoration, maintenance, janitorial services, or a related industry.
- Strong organizational and time management skills.
- Excellent customer service and communication abilities.
- Ability to manage multiple projects and priorities simultaneously.
- Strong problem-solving and decision-making skills.
- Proficiency with Microsoft Office, Google Workspace, and scheduling software.
- Ability to work under pressure in a fast-paced environment.
Preferred
- Experience with Connecteam, CompanyCam, Google Workspace, Worksheet, ClickUP, or similar field service management software.
- Experience coordinating emergency response or restoration services.
- Knowledge of commercial cleaning, maintenance, restoration, flooring, pressure washing, or building operations.
- Previous supervisory or management experience.
