We are currently seeking a highly motivated, service-oriented individual to join our culinary department as a full-time Administrative Assistant. Our culinary team proudly operates a “scratch” kitchen using only the finest and freshest ingredients. Reporting to the Executive Chef the role is responsible for:
GENERAL RESPONSIBILITIES:
- Providing administrative support to the Culinary department as directed by the Executive Chef and Sous Chefs.
- Entering data for food costs, recipes and updates to market value, working with purchasing team.
- Input maintenance requests as required, track progress and provide updates.
- Assist with Catering and Sales on Group Resumes, printing Work orders (BEO) and distribution for effective communication flow to Culinary team.
- Conducting a monthly reconciliation against sales.
- Handling internal food transfers between departments such as Retail F&B and Cafes, as well as other venues.
- Ensuring the departmental payroll is accurately and efficiently recorded; liaise with the Payroll Manager and/or HR regarding payroll issues.
- Assisting kitchen and stewarding leaders on scheduling, including liaising with team members on individual schedules.
- Maintaining time off request forms, vacation requests within the team and to HR/Payroll, as well as tracking employee absences or attendance changes.
- Being a health and safety ambassador for kitchen and stewarding.
- Creating power point presentations for departmental meetings, scheduling Kitchen and Stewarding Departmental meetings, writing and posting meeting minutes, maintaining the Culinary office filing system, and coordinating employee performance review completion.
- Assisting with maintaining accurate records for Human Resources pertaining to WCB claims, Incident Reports and operating records.
- Entering weekly payroll in the system.
- Assisting with ECOSURE, VCH and other audits – temperature forms, managing log book, food safe certification.
- Assisting with completion and communication surrounding Ecosure, VCH and other audits and action plans
- Assisting with the initial stages of recruiting, including scheduling interviews and preparing recruitment packages.
- Ordering office small supplies.
- Performing other related duties, tasks and responsibilities as required from time to time.
KEY REQUIREMENTS:
- 2+ years of Administrative experience in a large Corporate environment.
- Previous background in a Food and Beverage environment and a strong understanding of the demands of a commercial kitchen would be an asset.
- A post-secondary education in Hospitality Management would be an asset.
- Exceptional attention to detail and strong organizational skills are a must.
- Ability to build positive working relationships and contribute to a team environment.
- Proactive approach, has strong initiative and time management skills to meet deadlines.
- Able to work in a high volume kitchen operation with multiple leaders.
- Must have strong computer skills, with experience using databases and Microsoft Office.
- Strong business written and verbal communication skills are necessary.
- Previous payroll administration experience would be an asset.
- Ability to maintain a high level of confidentiality.
OTHER REQUIREMENTS:
- Physically fit to walk long distances throughout our large Facility as required. Hours may be extended or irregular to include evenings and weekends

Pay: $23.50-$25.75 per hour
