Horizon Assurance LLP is a growing public accounting firm focused on providing audit and assurance services to Canadian reporting issuers and private companies preparing to go public. We are seeking a highly organized Operations & Project Coordinator to support our partners in managing firm operations, coordinating internal projects, and driving operational excellence.
Position Summary
This role is ideal for someone with a background in project coordination, operations, or professional services administration. You will play a key role in ensuring the firm's operations run efficiently by coordinating projects, monitoring deadlines, supporting resource planning, maintaining operational processes, and assisting leadership with planning and decision-making.
Key Responsibilities
Operations Coordination
- Coordinate and monitor operational priorities, deadlines, and action items across the firm.
- Maintain project tracking systems, operational reports, and accountability dashboards.
- Prepare reports and metrics to support operational planning and management decision-making.
- Identify workflow bottlenecks, missed deadlines, communication gaps, and process improvement opportunities.
- Escalate unresolved issues or recurring concerns to firm leadership as appropriate.
- Assist in developing, implementing, and maintaining standard operating procedures and best practices.
- Promote a culture of accountability, professionalism, and continuous improvement.
Project Administration
- Coordinate client onboarding, acceptance, and engagement administration.
- Monitor staff workload, resource utilization, and engagement scheduling.
- Prepare resource capacity and workload reports to support staffing and planning decisions.
- Support budgeting, job costing, and engagement tracking.
- Coordinate regulatory filing and engagement transition processes where applicable.
- Monitor regulatory announcements and public information relevant to the firm's clients, communicating significant developments to partners.
- Maintain organized client and engagement administration records.
Human Resources Support
- Coordinate employee onboarding and offboarding activities.
- Maintain staff training records and monitor completion of mandatory training and professional development requirements.
Office Management & Administration
- Maintain company records, licenses, permits, certifications, and other corporate documentation.
- Coordinate internal meetings, staff events, and office communications.
- Develop, implement, and maintain administrative systems and office procedures.
- Maintain a professional, organized, and efficient office environment.
- Manage office supplies, kitchen inventory, and workplace amenities.
- Plan and coordinate office events, employee gatherings, holiday celebrations, and workplace initiatives.
- Liaise with the landlord, building management, and service providers.
- Coordinate office access, security, workspace allocations, and onboarding logistics.
- Coordinate interview logistics, meeting room preparation, and office events.
Qualifications
- Bachelor's degree in Business Administration, Project Management, Office Administration, Accounting, or a related field.
- 3+ years of experience in project coordination, operations, or a professional services environment.
- Ability to work independently with minimal supervision while demonstrating initiative, sound judgment, and accountability.
- Excellent writing and communication skills, with experience preparing reports and business correspondence.
- Proven ability to handle confidential information with professionalism and discretion.
- Strong organizational, analytical, and problem-solving skills.
- Exceptional time management skills with the ability to manage multiple priorities in a fast-paced environment.
- Advanced proficiency in Microsoft Office, particularly Excel.
- High level of professionalism, integrity, and attention to detail.
- Self-motivated with a proactive approach to identifying opportunities and solving problems.
- Experience in a public accounting or other professional services firm is considered an asset.
- A valid Ontario Class G driver's license is an asset.

Pay: $50,000.00-$80,000.00 per year
