Overview
CRUX Psychology is seeking an organized, detail-oriented, and trustworthy Billing Coordinator to support the launch and ongoing operation of direct billing across our practice. As we roll out direct billing for all clients, this new role will own the submission, tracking, and reconciliation of insurance and third-party claims — ensuring clients experience a seamless, transparent billing process from their very first appointment.
Reporting to Jennifer Sherry, the successful candidate will be comfortable working with numbers, confident communicating with clients and insurers, and able to manage sensitive financial and clinical information with discretion and care. The ideal candidate is punctual, reliable, and adaptable, with a knack for building and improving systems in a fast-paced, growing clinical environment.
Previous experience with medical, clinical, or insurance billing is preferred but not required. Experience with Google Workspace, spreadsheets, databases, clinical or practice-management software, extended health benefit portals, and emerging technologies such as artificial intelligence is considered an asset.

Duties
- Submit direct billing claims to insurance providers, extended health benefit plans, and other third parties on behalf of clients.
- Verify client coverage, eligibility, and benefit limits prior to appointments, and clearly communicate any out-of-pocket costs.
- Process payments, deposits, and receipts, and reconcile billing accounts accurately.
- Track submitted claims and follow up promptly on rejections, adjustments, and outstanding balances.
- Respond to client and insurer inquiries about coverage, claim status, and payments in a courteous, clear, and professional manner.
- Maintain accurate billing records and client billing profiles within clinic software and databases.
- Coordinate with clinicians and administrative staff to resolve billing questions and keep workflows running smoothly.
- Prepare and submit third-party invoices, and generate regular reports on billing activity.
- Help develop, document, and continuously improve direct billing procedures as the initiative grows.
- Stay current on insurer requirements, billing codes, and direct billing best practices.
- Handle highly sensitive personal, financial, and clinical information with confidentiality, professionalism, and discretion.
Qualifications
- Minimum two years of experience in billing, bookkeeping, insurance claims, or office administration, preferably in a clinic, health care, or professional office environment.
- Familiarity with direct billing, extended health benefits, or medical/clinical billing is a strong asset.
- Proficiency with Google Workspace, spreadsheets, and common business or practice-management software.
- Strong numeracy, with exceptional attention to detail and accuracy.
- Clear, professional written and verbal communication skills.
- Excellent organizational skills and the ability to manage multiple tasks under tight deadlines.
- Ability to work independently while also collaborating effectively with a team.
- Trustworthy, discreet, and professional in handling confidential information.

This position starts at 10 hours per week, with strong potential to increase as the direct billing initiative grows.
