Position Overview
We are seeking a full-time Tenant Coordinator to support an active construction project at a Richmond, BC work site. This role will act as the primary point of contact for tenant communications, notices, coordination with site leadership, and documentation of tenant interactions throughout the project.
The successful candidate will work closely with the Superintendent, project team, client representatives, and tenants to help ensure timely communication, organized records, and a professional tenant experience during construction.
Key Responsibilities
Serve as the day-to-day communication link between tenants, the Superintendent, the construction team, and the client.
Prepare, issue, and track notices to tenants regarding construction activities, access requirements, schedule impacts, service interruptions, and other project-related updates.
Coordinate tenant access, questions, concerns, and project-related requests in a timely and professional manner.
Maintain a tenant interaction log for client reporting, including dates, contacts, issues, follow-up actions, and resolution status.
Support the Superintendent with daily coordination needs related to tenant communication, site access, scheduling, and documentation.
Use Procore and Microsoft Office 365 to manage correspondence, records, logs, notices, and project documentation.
Attend project or coordination meetings as required and help follow up on tenant-related action items.
Escalate urgent tenant concerns, safety matters, or client-sensitive issues to the appropriate project team members.
Maintain organized records of notices, tenant correspondence, approvals, and communication history.
Represent the company professionally while interacting with tenants, client representatives, site staff, and other project stakeholders.
Qualifications and Skills
Strong verbal and written communication skills, with the ability to prepare clear notices and professional correspondence.
Highly organized, detail-oriented, and able to track multiple tenant communications and follow-up items at the same time.
Experience in construction, tenant coordination, property management, customer service, administration, or a related role is an asset.
Comfortable working in an active construction-site environment and coordinating with field staff.
Working knowledge of Procore is preferred.
Proficiency with Microsoft Office 365, including Outlook, Word, Excel, and Teams.
Ability to remain professional and solutions-focused when responding to tenant concerns or time-sensitive requests.
Reliable, punctual, and able to work full time at the Richmond project site.
