Construction Administrator - Position Summary
Direct Construction is a well-established General Contracting firm with its Head Office in Toronto, Ontario. We are currently seeking an experienced Construction Administrator to join our Ottawa office. This opportunity requires a results oriented professional, who thrives on accepting new challenges within a fast paced environment.
The Construction Administrator is responsible for all administrative duties relating to construction projects such as processing work orders, purchase orders and working closely with Project Managers to ensure all administration work is up to date and the project files are in proper order.
Responsibilities include, but are not limited to:
- Creating work orders;
- Creating purchase orders;
- Preparing and sending quotations to clients;
- Reviewing and preparing tender documents for submission;
- Updating and maintaining various job lists;
- Ordering materials;
- Assisting Project Managers in obtaining pricing;
- Scheduling trades for various jobs;
- Preparing invoicing;
- Filing.
Required Skills, Knowledge, Qualifications and Experience
- Strong customer focus and ability to communicate with customers and employees;
- Excellent written and verbal communication skills;
- Ability to handle large volume of tasks in a fast paced environment and capable of working under pressure with tight deadlines and act with a sense of urgency;
- Strong ability to build and maintain working relationships with co-workers and vendors;
- Team player that effectively collaborates with others while supporting the goals of the business;
- Strong ability to plan, organize and complete work as assigned including additional assignments per Supervisor’s direction;
- Maintains confidentiality of client account information and other confidential information;
- Conducts work in a professional manner;
- Ability to assume responsibility and to interface and communicate effectively with others, having strong interpersonal skills and be self-motivated;
- Ability to work in a fast paced organization;
- Demonstrated ability to gather information, accurately assess issues and assign level of priority, and effective probing and problem solving skills;
- Strong Microsoft Office skills;
- Strong time management skills being extremely detailed oriented and a team player.
- Experience working within the Construction industry, ideally with a General Contractor, is preferred.
