Purchasing & Receiving Administration
Kingdon Timber Mart – Lakefield
Job Summary
The Purchasing & Receiving Administration is responsible for supporting the day-to-day purchasing, financial, and administrative operations of the Lakefield location. This position focuses on purchasing administration, supplier documentation, accounts administration, cash management, and office coordination to ensure efficient business operations.
Working closely with accounting, purchasing, sales, yard staff, and management, this role ensures supplier documentation is processed accurately, daily financial transactions are reconciled, and administrative processes are completed efficiently.
Purchasing & Receiving Administration
· Review supplier confirmations against Purchase Orders (POs) for accuracy.
· Verify pricing, quantities, and product details prior to receiving inventory.
· Process supplier invoices promptly within the BisTrack ERP system.
· Resolve invoice, receiving, and pricing discrepancies with vendors and internal departments.
· Support purchasing activities by maintaining accurate supplier documentation.
· Assist management with purchasing supplies and equipment as authorized.
Financial & Cash Management
· Process customer payments and financial transactions accurately.
· Balance cash drawers and reconcile daily cash receipts.
· Maintain the company petty cash fund.
· Prepare secure daily bank deposits.
· Maintain accurate financial records related to cash handling activities.
· Ensure all financial documentation is complete and filed appropriately.
· Reconcile bank accounts in BisTrack and Microsoft Dynamics GP.
· Prepare supplier payments for approval and processing.
Office Administration
· Maintain organized accounting and operational filing systems.
· Monitor office supply inventory and coordinate replenishment.
· Order and distribute office supplies, forms, and staff apparel.
· Provide administrative and clerical support to management.
· Prepare operational reports, spreadsheets, and documentation as required.
· Assist with special projects and operational initiatives.
Communication & Collaboration
· Work closely with accounting, purchasing, sales, yard staff, and management teams.
· Coordinate purchasing and administrative communication between Kingdon Timber Mart locations.
· Support staff with BisTrack and administrative process questions.
· Promote accurate record keeping and operational best practices.
Qualifications
· Previous experience in purchasing, accounting, retail operations, or office administration preferred.
· Experience with Epicor BisTrack or similar ERP/POS systems is an asset.
· Strong Microsoft Excel, Word, and Outlook skills.
· Strong mathematical and analytical abilities.
· Excellent organizational and time-management skills.
· High attention to detail and accuracy.
· Excellent written and verbal communication skills.
· Ability to work independently and as part of a team.
· Dependable, professional, and willing to learn.
· Reliable transportation.
Success in This Role
· Ensure supplier documentation and invoices are processed promptly and accurately.
· Complete daily financial reconciliations with minimal discrepancies.
· Support efficient purchasing and receiving administration.
· Provide timely administrative support to management.
· Maintain accurate financial and purchasing records.
· Help improve operational efficiency and customer service across Kingdon Timber Mart.
Pay: $20.00-$24.00 per hour
