Working closely with the Principal Lawyer, the Paralegal/Legal Assistant provides administrative and legal support in all aspects of the firm's immigration and citizenship practice. The successful candidate will play an integral role in client file management, application preparation, client communication, and the day-to-day operations of the practice.
Key Responsibilities
- Draft forms, letters, and supporting documents for Canadian immigration and citizenship applications.
- Maintain strict confidentiality of all client information in accordance with the Law Society of British Columbia's rules regarding solicitor-client privilege and confidentiality.
- Attend client meetings, collect documentation, and scan or photocopy relevant records.
- Serve as a liaison between clients and the lawyer by obtaining information, responding to routine inquiries, and facilitating communication.
- Upload information and supporting documents for online immigration applications for lawyer review.
- Maintain accurate and organized electronic client files and ensure all filing deadlines are met.
- Communicate professionally with clients, government departments, and other external organizations.
- Coordinate courier and messenger services for client files and legal documents.
- Research immigration application procedures, processing times, legislation, and legal resources.
- Stay informed of changes to Canadian immigration laws, regulations, policies, and procedures.
- Assist with client intake and opening new client files.
- Assist with the firm's general administrative operations and collaborate effectively with team members.
- Provide administrative support related to the Principal Lawyer's Canadian Bar Association (CBA) responsibilities.
- Perform other related duties as assigned.
Qualifications
- Minimum of 2 years of experience as a legal assistant or paralegal, preferably in immigration law.
- Must be legally authorized to work in Canada.
- Excellent written and verbal English communication skills.
- Fluency in French or another language is considered an asset.
- Exceptional attention to detail and organizational skills.
- Strong client service and interpersonal skills.
- Ability to manage multiple priorities while maintaining accuracy and meeting deadlines.
- Proficiency with Microsoft Word and Adobe Acrobat or Foxit PDF.
- Experience with Clio Manage and Clio Grow is considered an asset.
- Bachelor's degree is preferred.
Compensation & Benefits
Compensation will be based on experience and qualifications.
- Starting wage during the probationary period: $20.00–$25.00 per hour, depending on experience.
