One Health Medical Centre Oakville is a busy, patient-centered family practice and walk-in clinic. We are seeking a highly organized, professional, and experienced Medical Office Administrator to join our team.
In this dual-focused role, you will lead our administrative operations, manage a team of over 10 staff members (Part time and full time), oversee digital marketing efforts, and provide exceptional front-line support to our patients and physicians.
Key ResponsibilitiesTeam Leadership & Operations
- Staff Management: Manage and supervise a team of 10+ clinic staff members, including conflict resolution and conducting regular performance reviews.
- Scheduling: Create and maintain efficient shift schedules for both clinic staff and physicians.
- Feedback Management: Actively collect and address feedback from physicians, patients, and staff to continuously improve clinic operations.
Financial & Billing Administration
- Invoicing: Reconcile OHIP and non-OHIP payments and prepare accurate monthly invoices for physicians.
- Billing Oversight: Manage billing workflows and troubleshoot errors to optimize clinic revenue.
Digital Marketing & Web Management
- Online Presence: Manage and update the clinic’s website and Google My Business profile.
- Social Media & Ads: Drive digital engagement and patient growth by running the clinic’s Facebook, Instagram, and Google Ads accounts.
Front Desk & Patient Care Support
- Reception: Warmly greet patients, manage front desk reception, and maintain a professional clinic atmosphere.
- Communication: Efficiently handle high-volume phone calls, manage the clinic email inbox, and process incoming/outgoing faxes.
- Scheduling: Accurately book and coordinate patient appointments utilizing the Electronic Medical Records (EMR) system.
- De-escalation: Confidently handle difficult or sensitive situations with patience and professionalism.
- Clinic Upkeep: Maintain a clean, organized, and sanitary clinic environment.
- Team Support: Provide ad-hoc administrative support to physicians and other medical staff as required.
Job RequirementsEssential Qualifications
- Education: Completed Medical Office Assistant (MOA) / Medical Office Administration Diploma.
- Experience: Minimum of 3 years of experience working specifically within a busy family medicine practice and/or walk-in clinic.
- Leadership Experience: Proven track record of managing a team of 10 or more staff members.
- Communication: Exceptional written and verbal communication skills.
- Key Attributes: Strong organizational skills, sharp attention to detail, and a high level of punctuality.
- Availability: Must be flexible to work some evenings and weekends.
- Transit: Reliable transportation to commute to our Oakville location.
Assets (Preferred but Not Required)
- EMR Systems: Hands-on experience with Accuro and/or PS Suite.
- OHIP Billing: Strong knowledge of OHIP billing procedures and error correction processes.
Pay: $25.00-$30.00 per hour
Expected hours: 30.0 – 37.5 per week
