Job Overview
Under the direction of the Production Manager, the Shipping Assistant provides administrative and operational support to the production and shipping departments while working closely with the Production & Logistics Coordinator. This role is responsible for assisting with the coordination of daily production and logistics activities, maintaining production documentation, and ensuring the timely distribution of production releases and related information to shop personnel.
A key function of this position is to provide operational continuity by performing the duties of the Production & Logistics Coordinator during scheduled absences, vacations, and other periods of leave, as well as assuming responsibility for these functions during afternoon operations. The Shipping Assistant will also provide administrative support to the production and shipping departments by organizing and maintaining production records, schedules, logs, and other documentation required for the efficient operation of the fabrication facility. The incumbent may also provide backup support to the Receiving & Materials Coordinator as required.
POSITION FUNCTIONS
Administrative & Production Support
- Prepare, split, organize, and distribute production releases to fabrication operators in a timely and accurate manner.
- Organize, separate, copy, and distribute Bills of Lading (BOLs) and other production and shipping documentation as required.
- Maintain production records, courier logs, ribbon colour logs, prefab yard check-in logs, and other production-related reports and tracking documents.
- Organize and maintain all production files and documentation within the production office to ensure accurate record keeping and easy retrieval.
- Assist with creating production and shipping loads within the ERP system as required.
- Assist with booking couriers and coordinating document and material deliveries.
- Respond to inquiries from Field Representatives, installers, customers, and internal departments, or direct inquiries to the appropriate personnel.
- Ensure all priority and rush orders are processed and distributed to production personnel promptly to support customer and operational requirements.
- Provide administrative support to the Production Manager and the Production & Logistics Coordinator.
- Perform other duties and administrative tasks as assigned.
Operational Coverage Responsibilities
- Perform the duties and responsibilities of the Production & Logistics Coordinator during scheduled absences, vacations, and other periods of leave, ensuring uninterrupted production scheduling, logistics coordination, customer communication, and administrative support.
- Assume responsibility for the Production & Logistics Coordinator functions during afternoon operations, maintaining continuity of workflow, production scheduling, shipping coordination, and communication between the shop, customers, and field personnel.
- Provide backup support to the Receiving & Materials Coordinator during planned or unplanned absences, as required.
- Work closely with the Production Manager to ensure production priorities, customer requirements, and shipping schedules are effectively coordinated throughout the workday.

EXPERIENCE & QUALIFICATIONS
- Minimum of one (1) year of administrative or coordination experience in a production, manufacturing, or industrial environment.
- Strong organizational and time management skills, with the ability to manage multiple tasks and changing priorities in a fast-paced environment.
- Ability to work independently while contributing effectively as part of a team.
- Demonstrated ability to remain organized and perform effectively under pressure while meeting deadlines.
- Proficient in Google Applications as well as Microsoft Office
- Strong verbal and written communication skills with the ability to interact professionally with customers, field personnel, production staff, and internal departments.
- High attention to detail and a commitment to accuracy in data entry, documentation, and record keeping.
- Experience working with ERP or production management software is considered an asset.
- Experience in the reinforcing steel industry or a rebar fabrication environment is considered an asset.

Pay: $18.25-$25.00 per hour
