Permanent Position – Hybrid
The successful candidate will independently manage the daily activities of a team of lawyers in the Intellectual Property group. They will be collaborative, professional, adaptable and positive and interested in their work. This role has a dual reporting relationship with the Professionals in the share and the Manager, Legal Assistant Services.
Hours of work are from 9 am to 5 pm. Occasional pre-authorized overtime may be required to meet client needs.
Primary Responsibilities:
- Manage daily patent prosecution deadlines and advise professionals of upcoming actions.
- Prepare, review, and file patent applications and prosecution documents with the USPTO, CIPO, and WIPO, including National Phase, Continuation, Divisional, Continuation-in-Part, Utility, and Provisional applications.
- Prepare and process patent formalities, including Declarations, Assignments, Powers of Attorney, Information Disclosure Statements (IDS), and other supporting documentation.
- Review and respond to patent office correspondence, including filing receipts, publication notices, and office communications.
- Prepare client reporting correspondence, status updates, and invoices; review billing proformas and respond to billing inquiries.
- Maintain accurate records and docketing information within patent management systems.
- Support professionals by managing routine inquiries and administrative responsibilities to ensure efficient practice operations.
- Collaborate with clients, foreign associates, and members of the Intellectual Property team.
- Provide backup support to professionals and team members as required.
- Perform other duties as assigned.
Required Knowledge and Experience:
- Completion of a post-secondary Legal Assistant or Law Clerk course
- Minimum of 5+ years’ experience as an Intellectual Property Legal Assistant
- Solid working experience with Patents and Patent Prosecution.
- Strong understanding of filing requirements with CIPO, USPTO, WIPO, etc.
- In-depth understanding of business and legal terminology.
- Solid computer skills; proficiency in MS Office 365, Excel, PowerPoint, and Adobe Pro.
- Experience working with Elite 3E, iManage Work, etc.
Pay Range
$55,000 to $75,000 per annum. Pay range to be commensurate with experience.
