About the Opportunity
Our regulatory client, is seeking a Facilities & Office Services Coordinator to join their Operations team on a three-month contract with the potential for extension. This is an excellent opportunity for an organized, customer-focused professional who enjoys working in a fast-paced office environment and supporting day-to-day facilities operations.
The successful candidate will play a key role in ensuring the smooth operation of office services, coordinating vendors, maintaining facilities, supporting meetings and events, and providing exceptional internal customer service.
Key Responsibilities
- Coordinate meeting room bookings, room set-ups, catering, and audiovisual support.
- Manage office facilities by conducting routine inspections and coordinating maintenance and repair requests.
- Liaase with external vendors and service providers to ensure timely completion of work and high service standards.
- Support building operations, including security, tenant requests, office equipment, and facility-related projects.
- Maintain inventory of office supplies, furniture, and facility equipment while coordinating replenishment as needed.
- Receive, sort, distribute, and ship incoming and outgoing mail and courier packages.
- Assist with reception coverage as required by greeting visitors, answering calls, and ensuring building security procedures are followed.
- Provide administrative support, including document scanning, data entry, reporting, and record maintenance.
- Participate in health and safety initiatives and assist with emergency preparedness activities.
- Identify opportunities to improve office processes and operational efficiencies.
Qualifications
- 2–3 years of experience in facilities coordination, office services, workplace operations, or a similar role.
- Experience coordinating external vendors and service providers.
- Knowledge of facility management processes, including maintenance coordination and building operations.
- Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and multitasking skills with strong attention to detail.
- Outstanding customer service and communication skills.
- Ability to prioritize competing tasks in a fast-paced environment.
- Comfortable performing light physical duties, including lifting up to 50 lbs. when required.
Preferred Experience
- Experience supporting workplace facilities or office operations.
- Previous experience coordinating building maintenance or office projects.
- Familiarity with facility management systems is considered an asset.
