We are seeking a professional, organized, and client-focused Receptionist / Office Administrative Assistant to join our team. This position is often the first point of contact for our clients and plays a key role in ensuring the efficient operation of our office.
Position Summary
The Receptionist / Office Administrative Assistant provides administrative and clerical support to lawyers and staff while delivering exceptional client service. The successful candidate will manage reception duties, assist with document preparation and filing, coordinate office operations, and support day-to-day administrative functions.
Key ResponsibilitiesReception and Client Service
- Greet clients and visitors in a professional and welcoming manner.
- Answer, screen, and direct incoming telephone calls.
- Schedule appointments and manage meeting room bookings.
- Receive and process client payments.
- Respond to general client inquiries and direct requests appropriately.
Administrative Support
- Prepare, scan, copy, file, and organize documents.
- File court documents and assist with legal correspondence as directed.
- Maintain electronic and physical filing systems.
- Assist lawyers and staff with administrative tasks and special projects.
- Perform data entry and maintain accurate records.
Office Management
- Maintain reception, client waiting areas, and meeting rooms.
- Order and monitor office supplies and equipment.
- Coordinate incoming and outgoing mail, courier deliveries, and document distribution.
- Support efficient office operations and workflow.
QualificationsRequired Skills and Experience
- Proficiency in Microsoft Office (Outlook, Word, Excel, and Teams).
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong verbal and written communication skills.
- Ability to handle multiple priorities in a fast-paced environment.

Preferred Qualifications
- Previous experience in a law firm or other professional office environment.
- Familiarity with legal procedures, court filings, and legal terminology.
- Experience with legal practice management or document management software.
- Post-secondary education in office administration, legal administration, or a related field is considered an asset.
