Summary
The Project Coordinator supports project managers, engineers, and site teams in planning, executing, and controlling construction and engineering projects. This role is ideal for someone with 2–5 years of experience, strong organizational skills, and a solid understanding of construction processes, engineering documentation, and project controls. Reporting to the Project Management Department, you will act as Project Coordinator on industrial projects, overseeing them from the design phase through to completion. You will be responsible for the overall management of your assigned projects, including technical, scheduling, contractual, and financial aspects.
Description
- Managing the project throughout its entire lifecycle: studies, procurement, implementation, commissioning, and closure;
- Planning, organizing, and coordinating the activities of internal teams and external partners;
- Managing and leading the project team;
- Serving as the primary point of contact for the client and ensuring their satisfaction;
- Ensuring adherence to quality, cost, schedule, and performance objectives;
- Ensure sound contractual and financial management of projects;
- Identify, anticipate, and mitigate technical, contractual, and scheduling risks;
- Provide regular reporting to project management;
- Involved in the pre-sales phase by participating in client needs analysis meetings, technical and financial estimates, and proposal development.
Project Administration
- Maintain project documentation including correspondence, meeting minutes, schedules, and logs;
- Prepare and distribute agendas, action items, and progress reports;
- Track deliverables, deadlines, and project milestones to support the project manager.
Design & Engineering Support
- Assist with managing drawings, specifications, and technical submittals;
- Coordinate design review cycles, comment resolution, and version control;
- Support engineering teams with document formatting, transmittals, and quality checks.
Construction Coordination
- Track RFIs, submittals, site instructions, and change requests;
- Support field teams by organizing site photos, daily reports, and inspection records;
- Help maintain project logs for safety, quality, and progress tracking.
Procurement & Vendor Coordination
- Assist with issuing RFQs, collecting vendor quotes, and preparing comparison summaries;
- Track purchase orders, delivery schedules, and material approvals;
- Maintain communication with subcontractors and suppliers to ensure timely responses.
Financial & Contract Support
- Support cost tracking, invoice processing, and budget updates;
- Assist with preparing change order documentation and contract amendments;
- Maintain logs for commitments, expenditures, and forecasts.
Requirements
- Authorization to work in Canada;
- Is qualified to pass a security screening;
- Diploma or degree in Construction Management, Engineering, Architecture, or related field;
- P. Eng. Certification in Ontario or Quebec;
- PMP;
- Additional training in project management (e.g., CAPM, PMP coursework) is an asset;
- 2–5 years in construction, engineering, architecture, or project delivery;
- Experience supporting multidisciplinary teams (designers, engineers, contractors);
- Experience coordinating activities on active construction sites is a strong asset;
- Exposure to both office and field environments is an asset;
- Strong communication and coordination abilities;
- Highly organized with excellent attention to detail;
- Ability to manage multiple priorities in a fast‑paced environment;
- Problem‑solving mindset with a proactive approach.
Skills
- Strong technical background in an industrial environment, ideally in the process industry;
- Ability to work on and coordinate multidisciplinary projects;
- Autonomy, rigor, and a strong sense of responsibility. Ability to manage, unite, and coordinate multidisciplinary teams;
- Excellent interpersonal skills and a customer-centric approach. Analytical, proactive, and decisive;
- Understanding of construction drawings, engineering documents, and project workflows;
- Familiarity with RFIs, submittals, change orders, ITPs, site reporting, and trade coordination;
- Proficiency with project management tools (e.g., MS Project, Procore, Autodesk Construction Cloud);
- Strong Excel skills for tracking logs, budgets, and schedules.
