Full job description

The Calgary Police Commission (the Commission) is a board of 10 community members and two city councilors appointed by City Council and the Government of Alberta to provide independent governance and oversight of the Calgary Police Service. It serves as a non-political board of directors that ensures the police operate at arms-length from elected leaders while also being accountable and responsive to the community.

The Alberta Police Act gives the Commission responsibility for hiring and supervising the police chief, establishing policies that ensure Calgary has efficient and effective policing, establishing police priorities and annual policing plans in consultation with the police chief, providing oversight on certain police personnel matters, and approving how the police budget is spent.

Reporting to the Commission's Executive Director, the Administrative Coordinator ensures the smooth daily operation of the Commission office by providing administrative, logistical, and public-facing support. Primary duties include:

Manage the practical needs of the Commission office, including coordinating meeting catering, ordering office supplies, coordinating office maintenance and security needs, managing parking, arranging IT support, making travel arrangements, and facilitating mail and package delivery.
Respond to or escalating email and phone inquiries received through the Commission's public email address and phone number, in consultation with other Commission staff.
Manage the scheduling and calendars for the Executive Director, Commission staff team events, Commission meetings, and other official events and duties of the commissioners.
Draft correspondence and assist with the editing and formatting of official documents and reports for the Executive Director, Commission Chair, and other Commission staff, as required.
Support the Commission Clerk and other staff with records management and filing.
Support the Executive Director with the financial administration of the Commission office, including procurement processes, budget and expenditure monitoring, expense submission, and reporting.
Coordinate onboarding, training, and orientation activities for commissioners and Commission staff.
Support other Commission staff with event planning for engagement sessions and other events.
Identify opportunities to improve administrative processes and efficiency.
Other administrative duties required for the daily operation of the Commission office.

Qualifications

A High School Diploma or equivalency (e.g., G.E.D.) plus job-related coursework and a minimum of 5 years of related administrative experience; OR
A Business Administration Certificate or Diploma equivalent to one year of full-time study and a minimum of 4 years of related administrative experience.
An equivalent combination of education and experience may be considered.
Advanced Microsoft Office skills (Word, Excel, Outlook and PowerPoint) and proficiency arranging meetings through virtual meeting platforms (Zoom, MS Teams, etc.) are required.
Experience working in law enforcement, government, or for a governance body is considered an asset.
Strong interpersonal skills, including an ability to influence without authority, work collaboratively, and establish strong and positive working relationships with colleagues, board members, and partners.
Proven ability to appropriately handle sensitive and confidential information with discretion, professionalism, and sound judgement in a highly political environment.
Excellent verbal and written communication skills, as well as an ability to create visually professional documents that match the visual/brand identity of the Commission.
Exceptional organizational skills and excellent attention to detail.
Ability to work independently, including problem-solving, anticipating needs, taking initiative with minimal supervision, and researching information to complete tasks effectively.

Successful applicants must provide proof of qualifications. Education obtained from out of country must have or be able to obtain, an Education Credential Assessment (ECA) for confirmation of equivalent credentials.

Days of work: Monday to Friday. Occasional evening and weekend work is required. Compressed work week options are available.
