Job Summary
Your primary role will be to provide Logistics support with a focus on Installation Coordination for The Collective & The Collective Installation Services (TCIS). You will work closely with the Installation Service Team Members, Installation Managers, Schedulers, Warehouse staff, Third Party Installation Team Members, Sales, and Client Service team members. You will be a primary point of contact for our Field Services Team. You will be responsible for providing prompt responses to inquiries, and for ensuring our TCIS & Daily and Delivery Service Division runs effectively. In this role, you will be required to communicate directly with key contacts to ensure projects meet dealer service and client expectations.
Summary of Responsibilities
A primary focus will be on Logistics Coordination for the Field Service Team and will include the following duties and responsibilities but not necessarily be limited to the following activities:
- Receive Install/Service PO and Package from Client Service Representative (CSR) as an appointment
- Prepare ESD Appointment in Calendar with Installation Package Attachments – appointment not accepted until product received
- Confirmation sent to CSR to confirm with the client
- Sort and Schedule deliveries by colour coded zone and crew
- Prepare Run Sheets and Finalize 3 days prior to delivery
- Report Product missing to CSR for scheduled deliveries 3 days in advance, CSR to Reach out to the Vendor
- Call Client to confirm 48 hours prior to delivery
- Advise CSR if dates have changed, CSR to update database, Installation Appointment Form, Daily Deliveries Calendar
- Organization of Shipping/Receiving documents
- Receive Completion Reports from Installer and forward to CSR
- Advise Sales/CSR of further project quotations required
- Work with Field Services on Daily Escalations and advise CSR to Create related/additional Purchase Orders required.
- Assist Service and Claims Specialist with Warranty and Claims as required.
- General office maintenance – Coordinate with the Warehouse Manager to ensure general office supplies and coffee are ordered, stocked, and maintained.
- Meet weekly with Managers/Schedulers to review upcoming installations, confirm product receipt, and ensure crews remain on track to complete installation tasks.
A secondary focus will be to provide support and backup to Service & Claims as and when needed. As well as handle the day-to-day initiatives of the Joint Health & Safety Committee for Business Furniture Solutions (BFS) (Canada) Inc. and assist with any health & safety initiatives for TCIS and BFS (US).
Experience/Skills
- Post-secondary diploma or degree in Business Administration, Operations or Logistics would be beneficial
- Experience in developing personal time management and organizational skills
- Clear and professional Written and Spoken Communication.
- Ability to multitask and undertake multiple projects or facets of various projects
- Proficiency in Office 365 including Word, Outlook and Excel

Pay: $55,000.00-$60,000.00 per year
