DUTIES:
Reporting to the Senior Comptroller, the Senior Accounts Payable Analyst is responsible for the accurate and timely execution of day-to-day accounts payable operations while contributing to the efficiency, accuracy, and continuous improvement of accounts payable and procurement processes within the Finance Department. The role processes invoices, purchase orders, vendor payments, and related transactions in compliance with financial policies, procurement requirements, and internal controls. The position also supports reconciliations, month-end and year-end close activities, audit readiness, process improvements, and effective communication with internal departments, vendors, and auditors.
- Accounts Payable Processing: Input and process cheque requisitions and invoices in the financial system, ensuring appropriate authorization, accurate coding to the chart of accounts, and accurate GST/HST calculations.
- Vendor and Payment Administration: Create and update vendor records, including banking information for EFT payments, ensuring required documentation and internal controls are met; prepare weekly EFT, online, and cheque payment batches based on due dates.
- Reconciliations and Close Support: Reconcile Accounts Payable (A/P) to the General Ledger (GL) at month-end and year-end; prepare and post routine A/P-related accrual and adjusting journal entries; and prepare reconciliation schedules and supporting reports for approval by the Senior Comptroller.
- Procurement and Purchase Orders: Input purchase orders, reconcile invoices against open purchase orders, investigate and document discrepancies with departments and vendors, and monitor and clear purchase orders appropriately.
- Records Management and Audit Support: Maintain complete electronic A/P and vendor documentation in accordance with audit requirements and respond to annual audit inquiries by gathering documentation and preparing required schedules.
- Monitoring and Issue Resolution: Monitor accounts payable aging and outstanding items, following up as required to support timely resolution and accurate reporting.
- Process Improvement and Systems Support: Identify opportunities to improve A/P and procurement processes, contribute to procedure and internal control documentation, and support system enhancements, reporting improvements, or process automation initiatives.
- Stakeholder Service and Operational Support: Provide excellent service and clear communication to vendors, internal teams, and stakeholders; support finance-related projects, continuous improvement initiatives, close activities, and backup support for other finance functions as required.
- Other: Perform other duties as assigned by the Senior Comptroller and maintain confidentiality of financial and organizational information.
MINIMUM QUALIFICATIONS:
- Post-secondary diploma in Accounting, Finance, Business Administration, or a related field is preferred.
- Minimum 3-5 years of accounts payable or related accounting experience, including full-cycle A/P responsibilities, month-end reconciliation support, and experience preparing routine A/P-related accruals or adjusting entries.
- Demonstrated ability to manage complex discrepancies, meet deadlines with minimal supervision, and maintain a high level of accuracy.
- Working knowledge of financial accounting principles related to accounts payable, accruals, and internal controls, with good mathematical and analytical aptitude.
- Strong proficiency in Microsoft Office, especially Word and Excel, with accurate and efficient data entry and document management skills.
- Proficiency in QuickBooks, Sage, or a similar ERP system, with experience supporting reconciliations and A/P-related journal entries.
- Excellent oral and written communication skills, strong organizational and time-management skills, and the ability to manage multiple priorities and deadlines.
- Ability to maintain confidentiality and work effectively as part of a team.
- Work experience with a First Nation or Indigenous Organization is considered an asset.
- An equivalent combination of education, training, and experience, as deemed appropriate by the hiring panel, will also be considered.
Pay: $36.37-$41.60 per hour
