Position Summary
We are seeking a Part-time Bookkeeper/Administrator to manage the day-to-day accounting and operational activities of a fast-paced civil construction business.
This hands-on role is responsible for maintaining accurate financial records, processing transactions, reconciling accounts, and supporting project and operational reporting. The successful candidate will work closely with operations to ensure financial information is complete, timely, and accurate while maintaining strong internal controls.
This is an ideal opportunity for a detail-oriented and organized individual who enjoys working in a dynamic environment where priorities can change quickly. The successful candidate will be resourceful, proactive, and capable of managing multiple responsibilities with minimal supervision. This role has a substantial operational component to it.
Key ResponsibilitiesGeneral Accounting
- Process daily accounting transactions accurately and in a timely manner.
- Maintain the general ledger and supporting subledgers.
- Prepare journal entries and account reconciliations.
- Reconcile bank accounts, credit cards, and other balance sheet accounts.
- Month-end and year-end close activities.
- Maintain organized accounting records and supporting documentation.
- Payroll time keeping and employee expense reimbursements
Accounts Payable
- Prepare Purchase Orders
- Process supplier invoices and employee expense claims.
- Match invoices to purchase orders and receiving documentation.
- Prepare payment runs and ensure vendors are paid in accordance with agreed payment terms.
- Resolve supplier inquiries and discrepancies.
Accounts Receivable
- Prepare customer invoices.
- Apply customer payments and maintain accurate customer accounts.
Project & Construction Accounting
- Track project costs and allocate labour, equipment, materials, and subcontractor costs to the appropriate projects.
- Support project managers with job costing information.
- Maintain accurate project records and supporting schedules.
- Identify coding or costing discrepancies and work with operations to resolve them.
Fleet & Equipment Administration
- Maintain fleet and equipment cost records.
- Assist with tracking equipment utilization and operating costs.
- Support inventory and asset record maintenance.
Compliance & Reporting
- Prepare GST/PST, EHT, WCB and other government remittances.
- Assist with audit requests and working papers.
- Ensure accounting records comply with company policies and applicable legislation.
- Prepare routine financial and operational reports as requested.
Qualifications
- Diploma or certificate in Accounting, Bookkeeping, or a related discipline.
- Minimum 10 years of bookkeeping or accounting experience.
- Expert level in Sage 50
- Construction, civil, or project accounting experience is considered an asset.
- Excellent Microsoft Excel and Outlook skis.
- Strong understanding of full scope bookkeeping.

Pay: $28.00-$34.00 per hour
