POSITION PURPOSE:
As the primary administrative support to the Director of Sales, the sales coordinator assists in the overall efficient operation of the Sales & Catering department resulting in increased revenue generation form both Sales Managers & Event Managers.
RESPONSIBILITIES:
· Administration of all Marriott standard programs for Sales & Catering and is responsible for all administrative duties related to the day to day operations of the sales department
· Assist in screening and assigning incoming electronic leads (includes but not limited to: MarRFP, MI-Leads, Cvent, Tourism Vancouver, Discover Surrey, SHMA)
· Qualify incoming calls and transfer to appropriate member of the Sales & Catering team
· Brand Loyalty program administrator
· Maintenance of all office files (Group & Catering included)
· Enter relevant information into carious sales systems
· Provide support for the sales team by drafting group proposals, contracts and managing group bookings.
· Responsible for blocking space for Tour Breakfasts and Sports team meals
· Reach out to Sports teams who do not have any organized catered food & beverage services and solicit them to book meals
· Tour forecast weekly update and distribution
· Build relationships with key contacts to fully understand their needs and proactively communicate all details to the hotel sales team
· Put together sales collateral, packing equipment and collateral for sales trips
· Conduct site inspections if Sales managers not available
· Liaise and communicate with all departments as required
· Work closely with Sales team to support all additional outside sales activities and entertaining such as client loyalty receptions, sales trips & blitzes
· Manage all other duties as assigned
QUALIFICATIONS:
· Excellent guest service and sales skills required
· Must have strong communication skills effectively in English, both verbal and written
· Ability to deal with internal and external customers, using high levels of patience tact and diplomacy and able to collect accurate information and distribute to appropriate personnel
· Must have working knowledge of Microsoft Office programs
· Knowledge of Hotel Systems, CI/TY & Lightspeed an asset
· Detail oriented and organized and good telephone manner
· Self motivated with high energy levels and a positive attitude
· Able to work independently under tight timelines and able to meet deadlines
· Ability to work flexible schedule when required
· Having knowledge of the competition and the surrounding area and attractions
SUPPORTIVE FUNCTIONS:
In addition to the performance of the essential functions, this position may be required to perform a combination of the following supportive functions.
· Assist Director of Catering and Event Management and/or Director of Sales in growing revenues
· Assist Sales & Catering team in sales & marketing activities
· Professionally represent the hotel at client based /industry /community events to support the sales effort
· Participate as a team player with all departments
· Assist with reports and/or competition data collection
EXPERIENCE:
· 2-Years Hospitality related experience preferred
EDUCATION:
· High School diploma required. Degree in Hospitality or Trade Certificate preferred
GROOMING:
All employees must maintain a neat, clean and well-groomed appearance per Marriott Brand Standards.
OTHER:
Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action up to and including termination of employment.
Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect business needs of the hotel. In addition, attendance at all the scheduled training sessions and meeting is required.
Upon employment, all employees are required to fully comply with Marriott rules and regulations for the safe and effective operation of the hotel’s facilities. Employees who violate hotel rules and regulations will be subject to disciplinary action.
Pay: $53,000.00-$55,000.00 per year
