Job Summary for Inside Sales and Customer Service Representative
Reports to: Sales Manager
The Inside Sales and Customer Service Representative position will have strong product knowledge and provide customer service and resolve customer issues. The role is an in-office position in Waterloo, ON. The representative is responsible for building positive relationships by responding in a timely manner to customer inquiries via e-mail and telephone. The inside sales representative will manage the orders from existing customers or new customers coming into the company via [email protected], [email protected], or the sales team. This individual will identify customer needs, provide product information, present quotations, and close sales deals. This role will require the incumbent to conduct “Vendor Managed Inventory” for certain customers. The individual will possess strong interpersonal skills, be detailed -oriented, possess excellent written and verbal communication skills, and the ability to work independently and with the sales team when it is required.
Key Duties and Responsibilities
Customer Service & Account Support
- Act as the primary point of contact with customers emailing requests and orders through [email protected], [email protected] or phone interactions.
- Respond promptly to product inquiries and provide ongoing support and work towards fostering strong customer relationships based on trust and the desire to deliver solutions.
- Develop and maintain deep product knowledge, explain product features, provide product recommendations and technical guidance when needed.
- Answer customers' questions about products, prices, availability, product uses, and payment terms and resolve customer concerns or services issues in a professional and efficient manner.
- Estimate or quote prices, credit or contract terms, warranties, and delivery dates.
- Follow up and consult with clients after sales or issued purchase orders to resolve problems and provide ongoing support.
Customer Quoting & Sales Support
- Accurately process intake of customer requirements and needs to ensure quotes reflect tailored solutions, correct products, quantities, pricing and delivery expectations.
- Prepare timely customer quotations based on product specifications, pricing structures, and company guidelines.
- Proactively follow-up on quotes in a timely manner to convert opportunities into orders.
- Work with internal teams to ensure pricing accuracy, product availability, and delivery timelines.
- Coordinate with sales manager and internal departments such as operations, logistics, and accounting to ensure customer satisfaction.
- Maintain a professional physical image and consistently convey positive impression of the company, including being well-groomed, and wearing appropriate company clothing when working.
Administrative Responsibilities
- Maintain organized records of customer communications, quotes, and sales activities.
- Participate in the development of sales planning, territory strategy, and regular account reviews.
- Participate in team meetings, training sessions, and company initiatives.
- Ensure compliance with company policies and procedures.
- Update and maintain customer information in CRM
- May be required to do additional work on as-needed basis.
Skills/ Requirements/ Qualifications
To be considered for the Inside Sales and Customer Service Representative position, candidates must possess the following qualifications and competencies:
· High school diploma or equivalent.
· At least 3-5 years of experience in B2B inside sales and/or customer service.
· Excellent skills in MS Office, including solid experience in Word and Excel.
· Experience with QuickBooks software is an asset.
· Professional well-groomed appearance.
· Team-oriented, self-motivated and extremely results driven.
· Excellent English communication skills, both written and oral, and relationship-building skills.
· Active listening skills, inquisitive nature, ability to take cues and understand salient points being made by the customer.
· Manage multiple relationships well and with excellent client service and high ethical standards.
· Critical thinking skills and use logic and reasoning to identify alternative solutions or approaches to problems.
· Exceptionally detail-oriented, organized and excellent time management skills.
· Ability to take personal initiative and demonstrate a strong motivation to succeed.
