We are searching for an exceptional and highly strategic partner to step into the role of Executive Assistant. If you are passionate about driving executive success, possess an inherent ability to anticipate needs, and are dedicated to facilitating a high-performing team environment, this is your chance to shine.
As the Executive Assistant, EFS Operations and Enablement, you will be an indispensable, confidential partner to our Vice President and the entire leadership team. This is a strategic role where you are the driving force, ensuring the executive’s time and focus are perfectly aligned with the business’s most critical priorities. We are looking for someone with strong business acumen - a dedicated professional who will proactively immerse themselves in the day-to-day operations and strategic objectives of the team so they can expertly represent the executive office and anticipate needs. You will thrive in a fast-paced environment with shifting priorities, dedicated to creating an exceptional experience for the executive and the leadership team you support. This role operates in a dynamic hybrid environment; being a key member of the team means you are expected to be physically in our Edmonton or Calgary office when your executive is, ensuring seamless collaboration and visibility as part of the team.

- Proactive Anticipation and Problem Solving: You are an executive’s secret weapon, looking ahead in the calendar and anticipating potential issues or challenges before they escalate. You solve problems proactively, bringing forward solutions or clearly defined recommendations to the executive, ensuring their focus remains on strategic leadership.
- Strategic Calendar Orchestration: Go beyond simple scheduling by treating the executive's time as a strategic asset. You will leverage sharp judgment to prioritize demands, protecting focused time for high-impact work and ensuring the calendar strategically aligns with key business objectives.
- Critical Travel and Logistical Mastery: Own all end-to-end travel booking, understanding the non-negotiable importance of the executive being precisely where and when they need to be to meet business objectives. This includes meticulously managing all complex logistical details, including processing expense reports and monitoring applicable budgets.
- Information and Reporting Authority: Maximize team productivity by preparing, coordinating, and producing essential, high-quality executive-level reports, presentations and communications. You will gather, analyze, and synthesize critical information to provide data-informed insights for the leadership team.
- Team and Event Leadership: Serve as the "glue" that holds the team together, taking the lead on planning and coordinating essential team meetings, events, and internal recognition programs to foster an amazing and consistent team member experience across the organization.
We are looking for an ultimate administrator whose positive, 'can-do' attitude is known for demonstrating connection, care, commitment, and action.
- Unwavering Judgement and Confidentiality: A mature, self-starter who possesses superior organizational skills and attention-to-detail to manage multiple, sometimes changing, priorities. You must have demonstrated independent judgment and decision-making skills to confidently handle urgent, confidential matters and address issues even in the executive's absence.
- A Dedication to Business Acumen: You have a passion for understanding the intricacies of the EFS Operations and Enablement team and the broader ATB organization. You seek to learn the leaders' portfolios, key processes, and strategic goals to act as a more effective and indispensable partner.
- Proven Executive Partnership Track Record: Minimum of 5 years of proven experience providing administrative support at the executive level (VP or C-suite), demonstrating success in anticipating complex needs and orchestrating multiple demands with ease.
- Collaborative Team Player and Communicator: You possess excellent written, verbal, and interpersonal communication skills. You are recognized for building strong, collaborative relationships across all levels of the organization and are excited to be in the office as an essential part of the team.
- Operational and Technical Mastery: Expert proficiency in the Google Suite of Office products, with a solid understanding of business rules and processes to proactively identify opportunities for efficiencies and innovative solutions.
This position has a hybrid work arrangement. On average, this means 2 day(s) on-site per week, as well as being in the office on those days the executive is in office. Please note that this is subject to change due to business priorities.
