We are looking for a highly organized, proactive, and detail-oriented Operations Coordinator to support a growing group of businesses in the real estate sales and development, construction, and investment industry.
This is not a typical administrative assistant position.
You will work directly alongside the owner, helping coordinate projects, manage schedules, improve systems, organize information, and ensure that day-to-day operations run smoothly across multiple businesses.
The ideal candidate enjoys creating order from chaos, solving problems independently, thinking ahead, and helping a fast-paced organization stay organized and efficient.

ResponsibilitiesOperations & Organization
- Maintain and organize project management systems using Monday.com
- Track deadlines, tasks, and project milestones
- Coordinate schedules and appointments
- Maintain organized digital files and records
- Create and improve operational systems and workflows
- Assist with project planning and scheduling
Real Estate Sales Support
- Assist with listing preparation and marketing coordination
- Prepare Marketing materials (Printing materials, ordering materials)
- Schedule videography, and social media scheduling
- Manage client follow-up reminders
- Assist with lead tracking and database management
- Help coordinate property showings and appointments
- Data Entry for all sales documents and transactions
- Uploading invoices and receipts to Google Drive
- General Bookkeeping, Reconciling all transactions with Quickbooks
Construction & Development Support
- Track and update construction progress on Monday.com
- Coordinate communication between trades, suppliers, and team members
- Follow up on outstanding items and project deficiencies
- Organize project documentation and approvals
- Assist with material ordering and delivery coordination
- Monitor project schedules and identify potential delays in possession dates
Executive Support
- Manage calendars and priorities
- Prepare reports and project updates
- Follow up on outstanding tasks
- Anticipate needs and proactively solve problems
- Help ensure the owner remains focused on high-value activities

Preferred Qualifications
- Experience using Monday.com
- Experience in project management, real estate, or development
- Strong knowledge of Microsoft Office and Google Workspace
- Experience coordinating and organizing projects and schedules
- Valid Manitoba driver’s license
