While our team is small, the work we do has a big impact—helping businesses build safer workplaces and ensuring they have the documentation, systems, and support they need to stay compliant.Our team consists of just four people, so we work independently and collaboratively, genuinely enjoy what we do, and believe in supporting one another. There are no corporate layers here—you'll work directly with the Owner and Safety Consultants every day, and your contributions will make an immediate difference.We're looking for someone who loves organization, enjoys working with technology, takes pride in producing polished work, and thrives in a self-driven fully remote environment.

About the Role
Reporting directly to the Owner and Safety Consultants, you'll become an essential part of our operations by managing the behind-the-scenes work that keeps projects moving and clients supported.
Your responsibilities will include:
- Configuring and uploading client data into our safety management software using excel or manual data entry
- Learning and becoming proficient in a variety of programs such as BIS Safety Software
- Weekly client reporting on their reporting dashboards (ISNET, ComplyWorks, Avetta, 8am, etc.)
- Training record management for client employees
- Building and formatting professional safety manuals, forms, and documentation using Microsoft Word and Adobe Acrobat Pro
- Setting up safety resources for new clients
- Tracking completed and outstanding client deliverables
- Managing large volumes of data entry with exceptional accuracy
- Supporting consultants with administrative tasks so they can focus on serving clients
- Organizing work using Microsoft Loop, Microsoft Planner, and Microsoft To Do
- Identifying opportunities to improve workflows by using AI tools responsibly to automate repetitive tasks while ensuring every final product maintains a professional, human touch
- Helping improve internal systems and processes as our company continues to grow
What You'll Bring - Required
- Advanced Microsoft Excel skills (this is essential).
- Strong proficiency with Microsoft 365 Business applications, including:
- Excel
- Word
- Outlook
- Teams
- Loop
- Planner
- Microsoft To Do
- Strong working knowledge of Adobe Acrobat Pro.
- Experience working remotely in a self-directed role.
- Exceptional attention to detail —accuracy is critical because our work supports workplace safety and compliance.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Comfortable learning new software quickly.
- Ability to manage multiple priorities independently.
- Self-motivated with proven success working remotely.
- Tech-savvy with a genuine interest in learning new systems and digital tools.
Nice to Have
- Previous administrative or executive assistant experience.
- Canva experience.
- Proficiency and experience with ISNET, ComplyWorks and Avetta considered a strong asset
- Occupational Health & Safety industry knowledge or experience.
- Experience creating professional documentation or procedural manuals.
- Confidence using AI tools to improve efficiency while understanding when human judgment and personalization matter most.
