The Williams Lake First Nation (WLFN), or the T’exelcemc (people of WLFN) have belonged to the Secwepemc (or Shuswap) Nation for over 6500 years. POSITION
As part of the administrative team, the Fleet Coordinator will oversee the overall Fleet Management System of WLFN. A fleet vehicle coordinator manages the day-to-day operations of a company's vehicle fleet to ensure efficiency, safety, and compliance. Key duties include scheduling vehicle maintenance, tracking vehicle location and usage, dispatching drivers, monitoring fuel consumption, and ensuring vehicles have proper documentation.
Employment Type
Permanent full time, 35 hours per week. Monday - Friday 8:30am-4:30pm.
Probation Period
3 months from the date of hire.
Education Required
- Certificate in Business Administration or a related field or an equivalent combination of training, education
- Experience may be considered.
Experience Required
- Minimum of 3-5 years’ administrative experience.
Overtime Status
Non-exempt.
DUTIES AND RESPONSIBILITIES
- Maintain the Quigli outlook calendar bookings such as Community Bus, Van, Honda Pilot, CRV, and Suburban. Ensures that proper procedures are followed and inspections are completed upon each use.
- Maintains inventory for all WLFN Fleet vehicles including boats, utility trailers and skid steer, etc.
- Schedules and maintains regular and seasonal maintenance for fleet vehicles including oil changes, tire changeover, windshield replacement, detailing, recall services, inspections, etc. for all fleet.
- Ensure all Fleet Vehicles are entered into the PSD City Wide System with all documentation.
- Administrative Compliance: Maintaining records of registrations, insurance, and compliance with safety regulations.
- Tangible Capital Asset Management and PSD City Wide: Tracking vehicle locations, managing vehicle inventory, and coordinating acquisition or disposal of vehicles.
- Safety & Incident Reporting: Investigating accidents, monitoring driver behavior, and ensuring vehicles have emergency kits.
- Reporting & Cost Tracking: Preparing reports on fleet performance, such as fuel usage and maintenance costs, to help control expenses.
- Serving as the point of contact for drivers regarding vehicle issues.
- Working in a fast-paced environment and taking initiative to update processes.
Knowledge
- Knowledge of Microsoft Office software at an intermediate/advanced level.
- Fluent of PSD CityWide Software.
