Description: We are seeking a detail-oriented Administrative Support & Customer Service Coordinator to support daily office operations and provide excellent service to our customers and team. This role is ideal for someone who thrives in a fast-paced environment and takes pride in organization, accuracy, and helping others.
Responsibilities:
Administrative Support
- Perform data entry, scanning, filing, and document management.
- Maintain accurate records and assist with internal systems and spreadsheets.
- Prepare invoices, documentation, and reports as required.
- Schedule appointments, travel, and support internal coordination.
- Order and manage office and auction hall supplies.
Customer Service
- Serve as the primary point of contact for all incoming phone and email inquiries.
- Provide clear information on consignment and bidding procedures, auction timelines, and services.
- Assist customers with completing required documentation.
- Handle customer concerns with professionalism and attention to detail.
Operational Support
- Assist with auction preparation tasks such as organizing paperwork and tracking consignments.
- Photography, editing photos, assisting lotters during peak times.
- Assist with marketing initiatives, email campaigns, and outreach.
- Support catalogue preparation by coordinating across departments.
Communication & Accuracy
- Ensure all communications are clear, professional, and accurate.
- Maintain a high level of attention to detail in all administrative tasks.
Qualifications
- Experience in administrative support and/or customer service roles.
- Strong organizational and time management skills.
- High attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to multitask and prioritize in a fast-paced environment.
- Positive, team-oriented attitude with a strong customer focus.
- Successful completion of a criminal record check.
- Have a Possession and Acquisition License (PAL) or be willing to obtain.
