Working closely with the Branch Manager, you'll become a key contributor to daily operations while developing into a trusted resource capable of supporting branch leadership when needed.
About the Role
T&T Power Group is an industrial engine-driven equipment sales and service company seeking a highly organized Branch Scheduling Coordinator.
This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, excels at multitasking, and takes pride in delivering exceptional customer service. You'll coordinate technicians, manage service orders, communicate with customers, support quoting activities, and ensure work flows efficiently through our ERP system.
Key Responsibilities
- Schedule and dispatch technicians efficiently based on workload, location, and priority.
- Coordinate technician routes and daily service schedules.
- Ensure technicians have all required information, parts, and documentation before arriving on-site.
- Coordinate subcontractors and external vendors when required.
- Serve as the primary point of contact for customers regarding service inquiries and scheduling.
- Build and maintain strong customer relationships by providing exceptional service.
- Prepare customer quotations and assist with pricing and service proposals.
- Manage service work orders from quote through completion, invoicing, and close-out.
- Maintain accurate customer records within the ERP system.
- Support invoicing and ensure completed work is billed accurately and promptly.
- Answer incoming calls and provide administrative support to the service department.
- Work closely with the Branch Manager to support daily branch operations.
- Assist with branch coordination and provide leadership support when the Branch Manager is unavailable.
- Promote job site safety and ensure service documentation is complete and accurate.
What We're Looking For
We cannot stress enough that strong computer aptitude and the ability to quickly learn new software programs and procedures are critical, non-negotiable requirements for this role.
The ideal candidate will have:
- Outstanding organizational and time management skills.
- The ability to manage multiple priorities in a fast-paced, constantly changing environment.
- Strong scheduling and coordination skills.
- Excellent attention to detail.
- Exceptional customer service and communication skills.
- Strong problem-solving abilities with minimal supervision.
- Confidence working independently while collaborating with multiple departments.
- Experience using Microsoft Office Suite.
- The ability to learn ERP systems quickly (experience with Odoo is considered an asset).
- Supervisor or scheduling experience is considered an asset.
Preferred Experience
Strong consideration will be given to candidates with experience in one or more of the following:
- Service scheduling or dispatching
- Customer service or service coordination
- Health & Safety
- Automotive, mechanical, or electrical parts
- Industrial service environments
- Power generation or heavy equipment
- Administrative coordination
- Quoting or service invoicing
Post-secondary education or equivalent work experience is considered an asset.
