In Person Role: We are seeking a highly experienced and highly organized Senior Immigration Case Manager to join our growing Canadian immigration practice. This is an office-based position requiring substantial hands-on experience managing complex Canadian immigration files from intake to final decision.
The successful candidate will possess strong technical knowledge of Canadian immigration programs, exceptional communication skills, and the ability to independently manage a high-volume caseload while maintaining outstanding client service standards. Experience with LMIA applications, employer compliance, and business immigration matters will be considered a strong asset.
Key Qualifications
- Minimum 4–8 years of direct Canadian immigration case management experience.
- Full understanding of All Temporary Residence Applications (Work permit, Study permit, Visitor), Economic Class, Express Entry, PNPs, Processing and requirements for each Application.
- Knowledge and experience working with Express Entry applications is a mandatory requirement.
- Proven experience handling a high volume of immigration files simultaneously.
- Strong knowledge of Canadian immigration legislation, policies, and application procedures.
- Excellent verbal and written English communication skills.
- Advanced proficiency in Microsoft Office Suite, Excel, PDF software, and digital document management systems.
- Thorough understanding of:
- Temporary Resident Visas (TRV)
- Study Permits
- Work Permits
- Visitor Records and Extensions
- Express Entry
- Provincial Nominee Programs (PNPs)
- Permanent Residence Applications under Economic Class streams
- Ability to draft professional submission letters, Statements of Purpose (SOPs), study plans, employer support letters, and legal representations.
- Experience with LMIA, employer-specific work permits, and business immigration applications is preferred.
Core Responsibilities
- Manage assigned immigration files from initial consultation through final decision.
- Serve as the primary point of contact for clients throughout the application process.
- Collect, review, and assess client information and supporting documentation.
- Prepare complete application packages, including forms, supporting evidence, and detailed submissions.
- Draft case-specific legal submissions, explanation letters, SOPs, and supporting documentation.
- Ensure all applications are prepared accurately and submitted within prescribed deadlines.
- Monitor file progress and provide proactive updates to clients.
- Follow up with clients regarding outstanding documentation and application requirements.
- Conduct research using IRCC, provincial, and government resources to ensure compliance with current program requirements.
- Maintain accurate file records, notes, and document management systems.
- Coordinate appointments, meetings, and client communications.
- Track critical deadlines, validity periods, expiry dates, and compliance obligations.
- Review client accounts, invoices, and billing records related to assigned files.
- Collaborate with consultants, lawyers, and management on complex case strategies.
- Support continuous improvement of internal processes, templates, SOPs, and quality assurance systems.
- Assist with general administrative and operational duties as required.

Responsibilities
- Prepare Documents: Review and proofread documents and correspondence to ensure compliance with procedures and grammatical usage.
- Draft Documents: Draft important documents, such as memorandums, briefs, arguments and forms. Prepare and key in correspondence and documents, such as affidavits and briefs, from handwritten copy, shorthand and machine dictation using computers. Perform other general office work as required including preparing financial statements.
- Immigration Case Work: Assist with preparing and reviewing immigration applications and related documentation.
- Legal Research: Conduct legal research and gather relevant information for case files.
- Research Cases:Important research can include fact-checking, getting formal statements and affidavits, interviewing, and developing case theories.
- Schedule Meetings: Schedule appointments, meetings and conferences for the company and attend meetings and conferences to take notes, minutes and dictation.
- Organize Casework: Process and organize important case files. Set up and maintain filing systems, utilizing knowledge of record keeping and procedures and frequently controlling confidential materials and documents
- Upload and File Documents: Open and distribute regular and electronic incoming mail and other material and coordinate the flow of information internally and with other departments or organizations
- Load and File Documents: Upload documents for official filing and stamping. This includes documents like affidavits, submission, representations, briefs, statements etc.
- Interface with clients, their spouses, family members and other professionals and other staff members of the organization: This includes interviewing clients for the case.
- Manage projects: Delegate work, prepare for deadlines, and keep cases organized. Work with other staff members to achieve the goals.
- It will be an asset, if you have a Paralegal License.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong clerical experience with attention to detail in filing and data entry tasks.
- Excellent typing skills with a focus on accuracy.
- Strong organizational skills to manage multiple tasks effectively.
- Exceptional phone etiquette and customer service skills.
