Overview
We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role is vital in supporting daily office operations, ensuring smooth communication, and maintaining efficient administrative processes. The ideal candidate will possess strong computer skills, excellent organizational abilities, and a professional demeanor to handle a variety of clerical tasks in a fast-paced environment.
Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing systems, document proofreading, and general clerical tasks to support office operations
- Assist with bookkeeping, invoicing, and basic financial record keeping
- Provide exceptional customer service to clients and visitors, addressing inquiries efficiently
- Support medical or dental office functions such as appointment scheduling, patient check-in, and insurance documentation (if applicable)
- Coordinate appointments, meetings, and calendar management for staff members
- Maintain organized office supplies inventory and ensure the workspace is tidy and functional
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with experience in data entry and document management
- Knowledge of QuickBooks or bookkeeping software is preferred
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Strong communication skills with professional phone etiquette and customer support experience
- Ability to handle multi-line phone systems efficiently and courteously
- Attention to detail for proofreading documents and maintaining accurate records
- Ability to work independently with minimal supervision while collaborating as part of a team
