Job description:
The Accounting Assistant is a cross-functional position, working primarily but not exclusively, in Accounts Payable (AP) while supporting Accounts Receivable (AR) along with general accounting support functions.
The Accounting Assistant is responsible for the accurate recording of vendor invoices, billings and receipts, as well as the timely payment of vendor accounts and processing of billings. The Accounting Assistant will monitor the collection of delinquent accounts and aged transactions for accounts payable and accounts receivable ledgers.
Accounts Payable; 60% of time allocation
- Maintain accurate documentation for all accounts payable invoices including appropriate general ledger allocation, authorization and supporting documents;
- Responsible for ensuring timely payment of outstanding accounts through regularly scheduled cheque runs and EFT batches;
- Process payments to volunteers for mileage and expenses;
- Assist with the creation of monthly accrual list which provides an accurate estimate of invoices/expenses which were not posted prior the month end closing.
Accounts Receivable ; 20% of time allocation
- Maintain accurate documentation for all accounts receivable transactions including appropriate general ledger allocation, authorization and supporting documents;
- Responsible for ensuring collection of overdue accounts with guidance from program Supervisors and Managers;
- Responsible for electronic and paper billing within the timeframes established from time to time.
Accounting Support Activities; 20% of time allocation.
- Support daily/monthly processing of donations, fundraising activities and gifts provided to ONECARE including but not limited to processing, printing and sending of donor receipts.
- Assist with document control updates and changes per the document control policy
- Other accounting activities as needed
QUALIFICATIONS:
- Three to five years of experience in an accounting role - business diploma preferred
- Working knowledge of accounting systems, computers and software applications
- Proficient in Microsoft Office
- Excellent communication, time management and problem-solving skills
- Demonstrated experience working efficiently and effectively in a high-volume position with shifting and competing priorities
- Strong internal and external customer service approach to all tasks
- Valid Ontario driver’s license and access to reliable vehicle
