This role is responsible for coordinating and executing end-to-end logistics for events and programs, including scheduling, room bookings, catering, and onsite operations. The position manages registration processes and serves as the primary point of contact for participants, while also developing and distributing communications such as invitations, confirmations, reminders, and follow-ups. Working closely with internal stakeholders, external partners, and vendors, the role ensures seamless program delivery and a high-quality participant experience, including troubleshooting issues as they arise. Responsibilities also include maintaining accurate attendance records and supporting post-event reporting and evaluation. The role leads outreach and relationship-building efforts with high schools, alumni, and community partners, and plans and delivers multiple annual programs, including student pipeline initiatives, mentorship programs, and preparatory courses. It involves coordinating program logistics, recruiting and supporting volunteers and facilitators, managing application processes from intake to decision communication, and monitoring participant engagement. Additionally, the role collects and analyzes feedback to support continuous improvement and maintains up-to-date program databases, including participant, school, and alumni contacts.
Qualifications
Education:
- Undergraduate Degree, in Business Management/Administration preferred
Experience:
- 1 year of administrative experience in an office environment
Skills, Abilities & Expertise:
- Knowledge of general office procedures
- Familiarity with financial records management
- Familiarity with Human Resources principles and practices
- Familiarity with University policies and procedures preferred
- Ability to ensure expenditures and resources are within allotments, and to make appropriate modifications when required
