The Asset Management Analyst is responsible for supporting and eecuting asset life-cycle governance practices across CIHI, with a focus on software licensing and a growing scope that includes hardware asset management. This role ensures that both software licenses and hardware assets are effectively tracked, allocated, monitored, and optimized to support business needs while maintaining compliance and cost efficiency. The Asset Management Analyst upholds structured governance, improves data integrity within ServiceNow, and enables data-driven decision-making across the IT asset life-cycle.
1. Assist with creating and enforcing software licence governance processes (intake, approval, allocation, reclamation).
2. Monitor software usage and identify opportunities to eliminate inactive or underutilized licences.
3. Prioritize reassignment of eisting licences prior to procurement.
4. Develop and deliver reporting (e.g., showback) on licence usage and cost drivers.
5. Identify duplicate or overlapping software tools with a focus of finding efficiencies.
6. Ensure software asset data accuracy within ServiceNow.
7. Collaborate with procurement and vendors to optimize licensing models.
8. Maintain accurate inventory of corporate hardware assets (e.g., laptops, mobile devices, peripherals).
9. Ensure asset life-cycle tracking from procurement through deployment, reassignment, and disposal.
10. Support governance of asset assignment, ownership, and recovery (e.g., offboarding).
11. Improve visibility into hardware inventory and utilization by leveraging the ServiceNow CMDB as the system of record for asset tracking, ownership, and life-cycle status
12. Align hardware asset data between Intune, SCCM, and ServiceNow CMDB.
13. Identify and address gaps in asset tracking, ownership, and lifecycle processes.
14. Engage business stakeholders to validate new or current business requirements and support informed decision-making.
15. Implement processes for ongoing monitoring and optimization of IT assets.
16. Support compliance by ensuring asset usage aligns with contractual and policy requirements.
17. Improve data integrity across ServiceNow asset and CMDB records.
- Undergraduate degree in Information Technology, Computer Science, Business Administration, or a related field, or an equivalent combination of education and relevant eperience.
- Certifications in IT Service Management (e.g., ITIL) or Software Asset Management (e.g., CSAM, ITAM/SAM-related certifications) are considered an asset.
- Training or certification in asset management, procurement, or process improvement (e.g., Lean, Si Sigma) is an asset.
- 1-3 years of eperience in IT operations, software asset management (SAM), IT service management (ITSM), or a related discipline.
- Eperience managing or supporting software licensing, including understanding of common vendor models (e.g., Microsoft, SaaS subscriptions, enterprise agreements).
- Eperience working with IT asset data, including tracking, reconciliation, and reporting across systems such as ServiceNow, Intune, SCCM, or similar platforms.
- Eposure to hardware asset life-cycle management, including inventory tracking, assignment, and off-boarding processes.
- Eperience supporting or improving operational processes, including making recommendations around controls, workflows, or governance practices.
- Eperience and ability to work with cross-functional stakeholders (e.g., procurement, finance, IT teams) to support asset management and decision-making.
- Understanding of software licensing models and hardware asset life-cycle management
- Strong analytical, data analysis and reporting skills.
- Ability to reconcile data across multiple systems (procurement, CMDB, endpoint tools).
- Process design and continuous improvement mindset
- Ecellent interpersonal skills and ability to work effectively in a team environment while demonstrating initiative and ownership.
- Primary locations: Toronto or Ottawa.
- Must comply with all CIHI workplace policies, including privacy and confidentiality.
- Fluency in English is required, bilingualism in both official languages is an asset.
