Position Summary
As our Front Desk Administrator, you are the first point of contact for our patients. You will manage patient flow, scheduling, coordinate complex schedules, billing, and ensure our daily operations run seamlessly.
Key Responsibilities
- Patient Experience: Welcome patients, manage the check-in/check-out process, and handle multi-line phone inquiries with professionalism and warmth.
- Scheduling Optimization: Manage the appointment book, coordinate emergency walk-ins, and minimize scheduling gaps.
- Insurance & Billing: Verify dental insurance benefits, submit pre-authorizations, process payments, and manage claims submission/co-payments.
- Records Management: Maintain accurate electronic patient charts, update medical histories, and ensure strict compliance with privacy regulations (like HIPAA).
- Office Coordination: Manage incoming correspondence, follow up on outstanding accounts receivable, and collaborate with clinical staff to ensure a smooth transition from the waiting room to the operatory.
Core Requirements & Qualifications
To be successful in this role, you must possess the following key elements:
- Dental Office Experience: A minimum of 1 to 3 years working specifically in a dental front-office or medical administrative role.
- Dental Software Proficiency: Hands-on experience with major Dental Practice Management Software (DPMS) such as Dentrix, Eaglesoft, Open Dental, or Tracker. Knowledge of Tracker is an asset.
- Insurance Literacy: Strong knowledge of dental codes, insurance verification processes, and electronic claims submission.
- Communication Skills: Exceptional verbal and written communication skills, with a proven ability to handle sensitive patient situations with empathy and discretion.
- Technical & Organization Aptitude: Strong multitasking abilities, sharp attention to detail, and proficiency with standard office hardware and software (Microsoft Office).
Preferred (Nice-to-Have) Qualifications
- Formal certification in Dental Office Administration or Medical Office Administration.
