Information Management Specialist for a full-time contract opportunity in
Shirley's Bay, Ottawa, ON. This role is ideal for a detail-oriented professional with strong records management, SharePoint administration, and information governance experience. Responsibilities
-
Adapt, maintain, and manage procedures and instructions related to organizational records systems
-
Recommend and implement improvements to document storage, retrieval, archiving, and disposal processes
-
Define and maintain data structures, data conversion strategies, and data conversion specifications
-
Collaborate with users and Information Management Officers (IMO) to maintain and safeguard information repositories
-
Identify opportunities to improve existing data structures based on user requirements and system performance
-
Provide guidance to users regarding the efficient use of information and data resources
-
Review and update file plans, classification structures, systems, tools, and information management practices
-
Implement information management support tools and systems in compliance with established organizational standards
-
Catalogue, organize, identify, and classify electronic and physical records according to approved file plans
-
Maintain, store, preserve, and manage organizational information assets
-
Identify and manage essential records within emergency preparedness and business continuity frameworks
-
Advise management and stakeholders on information management and recordkeeping best practices
-
Provide guidance regarding information management processes, systems, and compliance requirements
-
Coordinate information storage requirements and collaborate with Information Technology teams
-
Support document and records management initiatives
-
Establish and implement metadata standards, guidelines, and governance practices
-
Analyze and report on the effectiveness of information management programs and standards
-
Identify content management issues and recommend process improvements
-
Provide expertise in recordkeeping, legacy records management, e-record sustainability, and capacity-building initiatives
-
Support the implementation of recordkeeping policies, regulations, and legal requirements
-
Draft and maintain Information Management Administrative Instructions and related documentation
Qualifications
-
Must be eligible to work and reside within Canada
-
Must currently possess an active Secret Level Security Clearance
-
Must be eligible to obtain a Controlled Goods Program (CGP) Clearance
-
Post-secondary degree in Information Technology, Computer Engineering, or an equivalent combination of education and experience
-
Minimum 24 months of experience within the last four years analyzing, developing, modifying, and implementing information management or recordkeeping systems
-
Minimum 24 months of experience within the last four years administering SharePoint Classic and SharePoint Modern environments
-
Minimum 24 months of experience within the last four years providing advice and guidance related to recordkeeping policies, regulations, capacity building, legacy records management, and e-record sustainability

Minimum 24 months of experience within the last four years drafting Information Management Administrative Instructions

Minimum 24 months of experience within the last four years using the following technologies:

SharePoint On-Premises (2019 and Subscription Edition)

SharePoint Online

TreeSize Pro

ShareGate
-
Microsoft Office Suite (Teams, Word, Excel, Outlook, PowerPoint)

Minimum 24 months of recent experience working within a Windows 23H2 (or higher) environment

Strong knowledge of information governance, records management, metadata standards, and content management practices

Excellent analytical, organizational, communication, and problem-solving skills

Ability to work independently while collaborating effectively with multiple stakeholders
