Cart Connection Canada manufactures, distributes, repairs, and maintains shopping carts and material handling equipment for customers across Canada. We are seeking a professional, organized, and customer-focused individual to join our growing team in a full-time office position.

Position Summary
The Customer Service & Administrative Coordinator is responsible for supporting daily office operations through customer service, order processing, invoicing, data entry, reception duties, and general administrative support. The successful candidate will be highly organized, detail-oriented, and able to manage multiple priorities while maintaining a professional and positive attitude.
Key ResponsibilitiesCustomer Service & Reception
- Answer and direct incoming phone calls and emails professionally.
- Greet visitors, customers, vendors, and delivery personnel.
- Respond to customer inquiries regarding orders, deliveries, invoices, and service requests.
- Maintain positive relationships with customers, vendors, and internal team members.
- Escalate customer concerns to management when necessary.
- Order Processing & Data Entry
- Accurately enter customer orders into company systems.
- Process and update customer information, service records, and inventory data.
- Maintain electronic and physical filing systems.
- Verify information for accuracy and completeness.
- Generate reports and documentation as required.
Invoicing & Administrative Support
- Prepare and process customer invoices.
- Assist with accounts receivable follow-up and payment tracking.
- Maintain accurate records of transactions and customer accounts.
- Support inventory tracking and administrative reporting.
- Assist management and office staff with various administrative projects.
General Office Support
- Coordinate office communications and correspondence.
- Maintain office supplies and administrative resources.
- Support team members and contribute to a collaborative work environment.
- Perform other related administrative duties as assigned.
QualificationsRequired
- Minimum 1 year of office administration, customer service, data entry, or related experience.
- Strong computer skills including Microsoft Outlook, Word, and Excel.
- Excellent written and verbal communication skills in English and French.
- Strong organizational and time-management abilities.
- High level of accuracy and attention to detail.
- Professional and customer-focused demeanor.
- Ability to prioritize tasks and meet deadlines.
- Reliable attendance and punctuality.
- Ability to work independently and as part of a team.
Preferred
- Bilingual in English and French.
- Experience with QuickBooks or similar accounting software.
- Experience with inventory management systems.
- Experience in invoicing, order processing, or administrative coordination.
Working Conditions
- Office-based position located in Cambridge, Ontario.
- Primarily sedentary work involving computer and telephone use.
- Occasional lifting of office supplies up to 20 lbs may be required.
- Interaction with customers, vendors, and internal departments throughout the day.
