Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is essential in supporting daily office operations, ensuring smooth communication, and providing exceptional customer service. The ideal candidate will have strong clerical skills, proficiency in office software, and experience in managing administrative tasks within a professional environment. Previous experience with medical or dental offices is a plus, but not required. Responsibilities
- Manage front desk duties, including greeting visitors and directing calls
- Operate multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing, document management, and proofreading of correspondence
- Assist with bookkeeping tasks and basic financial record keeping
- Support customer service efforts by addressing inquiries and providing support via phone or email
- Schedule appointments, coordinate meetings, and manage calendars
- Perform general clerical duties such as photocopying, scanning, and mailing documents
- Maintain organized office environment to enhance efficiency and productivity
Qualifications
- Proven experience in office administration or clerical roles; experience in medical or dental offices is advantageous
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with keen attention to detail
- Effective communication skills including phone etiquette and customer support experience
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Typing speed of at least 50 WPM with high accuracy; proofreading skills are a plus
- Prior experience with data entry, filing systems, and front desk operations preferred
- Knowledge of bookkeeping or basic financial procedures is beneficial
