We are seeking a highly organized, client-focused Office Administrator to join our team. The ideal candidate has experience working in a public practice accounting firm and enjoys supporting both clients and professional staff in a fast-paced environment.
Position Summary
The Office Administrator plays an integral role in the day-to-day operations of the firm. This position is responsible for document management, workflow coordination, billing support, and administrative assistance to our accountants and partners. The successful candidate will be detail-oriented, adaptable, and committed to maintaining the highest level of professionalism and confidentiality.
Key Responsibilities
- Prepare and assemble financial statements using CaseWare.
- Manage iFirm workflows, client requests, and task tracking.
- Upload, organize, and maintain client documents within the firm's document management systems.
- Monitor corporate tax return and engagement deadlines to support workflow coordination.
- Prepare engagement letters, client correspondence, and other administrative documents.
- Coordinate electronic signatures and document delivery.
- Process client billing and accounts receivable follow-up.
- Assist with new client onboarding and maintain accurate client records.
- Coordinate CRA authorizations and other government correspondence.
- Order office supplies and coordinate office maintenance and vendors.
- Provide administrative support to partners and staff.
- Processing of large volume of T1s during tax season.
Qualifications
- Minimum two years of administrative experience, preferably in a public accounting or other professional services firm.
- Post-secondary education in Office Administration, Business Administration, or a related field is an asset.
- Experience with CaseWare and/or iFirm is strongly preferred.
- Experience with tax and accounting workflows is considered a significant asset.
- Proficiency with Microsoft Office (Word, Excel, Outlook, and Teams).
- Experience with electronic document management systems.
- Excellent organizational and time management skills with the ability to manage multiple priorities.
- Strong attention to detail and commitment to accuracy.
- Excellent written and verbal communication skills.
- Professional, positive, and client-focused attitude.
- Ability to work independently while contributing effectively as part of a team.
