Job Title: Account Manager - Full Time, In-Person
Description: The Account Manager at CARO Analytical Services is responsible for managing client projects and work orders to ensure a smooth, accurate, and timely client experience. Acting as the primary point of contact for assigned clients, this role coordinates between clients and internal technical teams, resolves inquiries, and ensures all project and analytical requirements are clearly communicated and delivered.
Role Responsibilities:
Client Project Support
· Act as the primary point of contact for client inquiries related to project status, work orders, and analytical questions
· Set up, maintain, and manage client projects within the Laboratory Information Management System (LIMS)
· Respond to client feedback, troubleshoot concerns, and escalate issues when required, including ICARs
· Communicate special analytical requirements clearly and accurately to operations teams
· Initiate and follow up on data verification with clients and resolve Chain of Custody (COC) discrepancies
· Enter bottle order requests and ensure accuracy of client submissions
Work Order Management
· Monitor and follow up on work orders requiring additional analysis, revisions, or clarification
· Proactively communicate delays or changes in timelines to clients
· Perform data entry for sublet work and ensure accuracy of external submissions
· Ensure reports are issued accurately, completely, and within required timelines
· Review invoicing details including pricing, bids, and applicable surcharges
· Conduct work order reviews to ensure completeness and compliance with CARO standards
What Success Looks Like:
· Clients receive timely, accurate, and proactive communication throughout their projects
· Work orders are managed efficiently with minimal delays or rework
· Strong accuracy in LIMS data entry, reporting, and invoicing details
· Clear and consistent communication between clients and operations teams
· High client satisfaction and trust in CARO’s responsiveness and service quality
· Ability to independently manage a portfolio of accounts with minimal escalation
Qualifications:
· Post-secondary education in a related discipline, or an equivalent combination of education and experience
· Industry experience in laboratory, technical services, or client coordination roles considered an asset
· Energetic, self-motivated individual who thrives in a fast-paced, client-focused environment
· Strong client service mindset with the ability to build relationships across diverse client groups
· Effective problem-solving skills with a proactive, solutions-oriented approach
· High attention to detail with strong accuracy and record-keeping abilities
· Excellent interpersonal, communication, and organizational skills
· Professional, friendly, and diplomatic communication style
