Role Summary
The Culture & People Administrative Coordinator is responsible for turning ideas into action across Boulanger Industrial Group’s (B.I.G) people and culture initiatives.
This role supports the Culture Committee and leadership team by owning the execution behind people initiatives from research and planning to documentation, coordination, and follow-through. You will be the engine that ensures great ideas don’t stall but are implemented efficiently and consistently across the organization.
This is an ideal role for someone who is highly organized, detail-oriented, and energized by creating a positive employee experience through execution. This role is responsible for coordinating and executing approved initiatives and recommending improvements based on feedback and results.
Key Responsibilities
1. Culture Initiative Execution
- Translate Culture Committee ideas and direction into actionable plans and programs
- Coordinate and execute employee engagement initiatives including events, programs and recognition activities
- Monitor progress, track timelines, and ensure initiatives stay on schedule
- Identify gaps or roadblocks and escalate issues when needed
2. Research & Data Gathering
- Conduct research to support culture and HR initiatives including vendors, tools, benchmarks, and best practices
- Compile findings into clear summaries and recommendations
- Pull, organize and analyze internal data such as survey results, engagement trends, and participation data
- Support reporting and presentation preparation for leadership review
3. Administrative & Coordination Support
- Prepare documents, presentations, and supporting materials for culture and HR initiatives
- Draft and send internal communications such as emails, announcements, and surveys
- Coordinate logistics for events, meetings, and programs
- Maintain trackers, lists, and documentation using Microsoft Lists, Excel, and OneDrive
4. Implementation & Follow-Through
- Manage the full lifecycle of assigned initiatives, including planning, coordination, execution, and follow‑up
- Ensure all administrative steps are completed, such as bookings, approvals, communications, vendor coordination)
- Track initiative completion, outcomes and post-implementation actions
5. Communication & Escalation
- Provide regular updates on progress, risks, and blockers to leadership
- Escalate issues when timelines, budget, or outcomes are at risk
- Maintain clear and consistent communication between stakeholders, committee members, and leadership
6. HR / People Support
- Support HR processes such as onboarding coordination, documentation updates, and employee information management
- Assist with internal surveys, recognition programs, and employee experience initiatives
- Help maintain consistent documentation and compliance with company processes and standards
- Maintain confidentiality and handle employee information with discretion and professionalism.

- Administrative work is completed proactively, with minimal follow-up required

Qualifications
- 1–3+ years in an administrative, HR, coordination, or operations role
- Experience supporting projects, events, or internal initiatives is an asset
- Proficiency with Microsoft 365 including Outlook, Excel, Word, and Teams, with experience using Lists or Planner considered an asset
- Experience drafting internal communications and preparing documents and presentations
- Bilingual French/English skills are considered an asset

Reports to: Leadership Team through the Administration and Operations Advisor
Pay: $45,000.00-$50,000.00 per year
