CUSTOMER SERVICE AND ADMINISTRATION
The Customer Service & Administration Assistant will serve as a primary point of contact for customers while supporting the sales and operations teams at East Electrical Supply Inc., and East Electrical Supply USA Inc.
This role requires strong communication, organizational, and customer service skills to assist with inquiries, order processing, pricing, inventory availability, and administrative tasks. The employee will work closely with internal departments and suppliers to help meet customer needs and maintain efficient daily operations. Industry experience is considered an asset, but comprehensive training will be provided.
This position plays an important role in maintaining positive customer relationships and supporting the continued success of the company.
Tasks
Customer Service
· Provide prompt and professional customer support by phone and email
· Assist customers, distributors, agents, and outside sales representatives with inquiries regarding products, pricing, inventory availability, and order status
· Accurately enter customer orders, process RMAs, and issue invoices
· Provide order confirmations and proactively communicate updates regarding delays, shipments, or product availability
· Help cross-reference and locate products to fulfill customer requirements using inventory systems and supplier information
· Maintain and monitor customer back orders to ensure timely follow-up and resolution
· Support customers with shipment tracking and delivery-related inquiries
· Maintain accurate records of customer interactions, orders, and documentation
· Work closely with internal departments including sales, logistics, warehouse, and purchasing teams to support customer needs and daily operations
· Contribute to delivering a high level of customer satisfaction through professional communication and problem-solving
Administration
· Assist with general office administration and daily organizational tasks
· Prepare and maintain spreadsheets, reports, filing systems, and internal documentation
· Support coordination between departments to ensure smooth communication and workflow
· Assist with inventory receiving and report discrepancies when required
· Maintain organized records related to orders, shipments, inventory, and customer communications
· Support logistics coordination by assisting with shipment tracking, receiving schedules, and transportation communication
· Provide occasional administrative support to the purchasing team, including purchase order tracking and supplier communication
· Assist management and team members with administrative duties and special projects as needed
Qualifications & Requirements
The successful candidate will demonstrate strong organizational skills, attention to detail, and the ability to manage customer service and administrative responsibilities in a fast-paced environment. The ideal candidate will communicate professionally with customers and internal teams while handling orders, documentation, and day-to-day office support with accuracy and efficiency.

· Strong organizational, multitasking, and problem-solving abilities
· Attention to detail and accuracy in data entry and record-keeping
· Proficiency in Microsoft Office, Adobe, and ERP systems (Spire preferred)
· Ability to work collaboratively with internal departments and customers
· Experience in customer service, administration, logistics, or order management is an asset
· Willingness to learn product and industry knowledge on the job
· Educational background preferred in Business Administration, Office Administration, or related fields
Lines of Communication
As a Customer Service & Administration Assistant, clear communication with customers, agents, suppliers, warehouse teams, and internal departments is essential to maintaining efficient operations and customer satisfaction. The employee will report directly to the department supervisor(s). The chain of command may vary depending on the organizational structure and operational requirements of the company.
Working Conditions
This is a full-time, in-office position with a standard 8-hour workday, Monday to Friday from 8:00am–4:30pm.
Pay: $50,000.00-$60,000.00 per year
