What is The Well?
The Well is a unique and innovative joint venture between Allied and Riocan.
Located at Spadina and Front, The Well brings together three million square feet of retail, office, and residential space constructed over 7.7 acres. Through this, The Well sets the stage for meaningful experiences that draw people from down the street and across the globe to eat, shop, work, live and play in Toronto.
Reporting to the Property Manager, and as this is a newly constructed property, we are building a team with the same level of excellence in mind. Allied is looking for a Assistant Property Manager, Retail to oversee approximately 320,000 square feet of retail space at The Well, including the Wellington Market.
In this role, you will support the retail Property Management team and oversee tenant relations, retail operations, building standards, financial performance and operational administration. You will play a key role in maintaining a high-quality tenant and guest experience while ensuring the retail portfolio operates effectively and performs in line with established operational and financial expectations.
This is an opportunity for an experienced property administrator or leader who understands complex retail environments, builds strong relationships and brings a service-oriented approach to one of Toronto’s most prominent mixed-use destinations.
Tenant Relations:
- Provide a high level of customer service to all clients, colleagues, and tenants requiring assistance;
- Report periodically to management on the status of each tenant;
- Perform site and tenant inspections;
- Attend tenant meetings on a monthly basis;
- Handling of tenant requests or emergency situations;
- Assist in handling building operator, operations & security inquiries in regards to the retail areas;
- Maintain and keep accurate all tenancy information relating to address, phone numbers, contact information, insurance, parking and utilities into the property management/accounting computer systems;
- Maintain and keep up to date building information data;
- Oversee tenant improvement and/or landlord’s work, as required;
- Assist with leasing and marketing efforts, as required;
- Other duties as assigned.
Finance:
- Assist in the preparation of annual operating and capital budgets for the retail component of the property;
- Assist in monthly financials reporting relating to each property as required;
- Assist with review & delivery of year end recovery adjustments; ensure statements are sent accordance with lease requirements and deadlines;
- Review lease workflow to ensure accuracy and completeness of lease abstract and recovery methodology;
- Coordinate, collect and report on the collection of all tenant rental payments;
- Prepare reconciliation of tenant accounts, as required;
- Collect and report tenant sales as required;
- Review of payables to ensure accuracy and completeness;
- Responsible for preparation and control of purchase orders, ensure accurate billing of work;
- Other duties as assigned.
Administrative:
- Work with suppliers to ensure that all required services are being performed and invoiced in accordance;
- Monitor and assign work orders in the software system as required;
- Maintain, track and report on work order status in maintenance reporting software system on a monthly basis;
- Assist with the process of property certifications such as LEED, WELL etc;
- Assist with event coordination and administration, as needed;
- Other duties as assigned.
- College or University Degree in a related field;
- Minimum 2-5 years of experience in the property management industry with administrative and financial responsibilities;
- RPA designation completed or in progress an asset;
- Retail management experience preferred;
- Strong communication and interpersonal skills, including a proven ability to build relationships;
- Ability to work in a fast paced environment;
- Knowledge of Yardi is an asset;
- Experience in accounting, budgeting and building systems;
- Responsiveness and an ability to anticipate client needs and commit to respond in agreed timeframes;
- Demonstrates resilience, passion and commitment to deliver and be accountable for results;
- An assertive self-starter with the ability to work independently under minimal supervision;
- Strong computer skills, with a good knowledge of MS Excel and MS Word.
Allied determines individual compensation by work location and other factors, including relevant experience, education and internal equity.
