Position Overview
We are seeking a highly organized and proactive Property and Estates Paralegal to support residential real estate and estate matters from intake through completion.
This role is ideal for someone who enjoys balancing client communication, file coordination, legal documentation, and operational organization within a fast-paced legal environment.
The successful candidate will play an important role in helping ensure transactions and estate matters move smoothly, accurately, and efficiently.
Key ResponsibilitiesClient Communication & Coordination
- Communicate with clients regarding property transactions and estate matters
- Coordinate appointments, signing meetings, and required documentation
- Maintain professional and responsive communication with clients, realtors, lenders, and third parties
- Support clients through the legal process in a calm and organized manner
File Management
- Open and maintain files within Clio
- Track deadlines, closing dates, probate requirements, and follow-up tasks
- Ensure files remain organized, accurate, and audit-ready
- Maintain detailed file notes and documentation
Legal & Transaction Support
- Assist with residential purchase, sale, refinance, and estate files
- Prepare draft correspondence and supporting legal documents
- Organize closing documentation, reporting letters, and estate materials
- Coordinate receipt and organization of mortgage instructions and supporting documents
- Support lawyers with file preparation and transaction completion
Billing & Administrative Responsibilities
- Enter billable time accurately and consistently
- Support file billing and disbursement tracking
- Ensure work completed is properly documented and categorized
- Assist with closing coordination and administrative follow-up
Qualifications
- Diploma or experience in Paralegal Studies, Legal Administration, or a related field preferred
- Experience in real estate or estates law considered a strong asset
- Strong organizational and time-management skills
- Ability to work independently and proactively
- Strong written and verbal communication skills
- Comfortable managing multiple deadlines and priorities
- Experience with Clio or legal management software considered an asset
