Transportation and Facilities Coordinator
STAR Catholic School Division operates 38 school bus routes, transporting more than 1,800 students to and from school each day. Reporting to and working alongside the Transportation/Safety Officer, the Transportation and Facilities Coordinator will support the administration of the Division's transportation program while also assisting with a variety of facilities and operational responsibilities across the Division.
Transportation Responsibilities

Coordinate communication and distribution of transportation information between division schools, school bus contractors, partnering school divisions, and parents

Utilize and maintain transportation software systems and communication tools, including BusPlanner, SchoolMessenger, and related systems, ensuring accurate and up-to-date information

Coordinate and assist with: Transportation registrations, Transportation fee administration, Maintenance and updates to the transportation website, SchoolMessenger transportation contact lists, Preparation of reports for school bus contractors, Statistical reports for senior administration and the Board of Trustees

Collect and organize documentation from school bus contractors, including route assessments and time/stop adjustment requests

Respond to inquiries from schools, bus contractors, and parents regarding transportation services
Facilities Responsibilities-
Assist with fleet management for Central Office and Division vehicles, including: Monthly vehicle logs, Maintenance coordination, Procurement support, Process and code invoices and assist with monthly VISA reconciliation processes

File and maintain permits, licences, inspections, and related documentation in FileHold

Coordinate the management, distribution, and dispersal of surplus furniture and equipment across schools and Central Office

Support playground management processes, including inspections, audits, and documentation

Coordinate safety-related operational items, including fire extinguisher inspections and contractor scheduling

Verify completion of contracted services such as snow removal and groundskeeping at division sites
Qualifications and Skills-
Excellent organizational and time management skills

Strong verbal and written communication abilities

Ability to manage multiple priorities and maintain accurate records

Knowledge of division communities and the ability to read and interpret maps is considered an asset

Familiarity with transportation and school software systems such as BusPlanner, SchoolMessenger, PowerSchool, or FileHold is an asset

Experience with fleet coordination, facilities operations, or administrative support is considered an asset

Proficiency with Microsoft Office applications and general office technology

This is a Probationary Full-Time (Mon-Friday 8am - 4pm) position and will be situated at our Division Office.
