Smiles by Design is a small, bright, and vibrant dental practice located on Oak Bay Ave! We are a close-knit, "small but mighty" crew dedicated to providing exceptional care to our patients. We are looking for a reliable, confident right-hand administrator to join us at the front desk to keep our practice running smoothly. The Role
As our Front Desk Admin, you will be the face and voice of our practice. You will work independently but in lockstep with Nicole our office manager and with the rest of the team to manage patient flow, scheduling, and daily administrative duties. We need someone who can take ownership of their responsibilities from day one.
Key Responsibilities
- Greet patients with a warm, outgoing, and professional demeanor.
- Manage a busy multi-line phone system and email correspondence.
- Coordinate patient scheduling, check-ins, and check-outs efficiently.
- Handle billing, insurance claims, and payments.
- Maintain organized patient records and office files.
- Multitask effectively to keep the front desk running seamlessly.
- Provide patients with accurate and clear dental estimates before their appointments.
What You Bring
- Experience: Strong background in customer service is required. Prior experience in a dental or medical office is considered an asset but not required
- Software Skills: Experience with Maxident is highly desirable, though a strong willingness to learn our systems is key. We are very happy to train the right person.
- Core Traits: Confident, independent, and highly organized. You are a natural multitasker who remains calm under pressure.
- Team Fit: You are kind, open-minded, a true team player, and possess excellent communication skills.
