Overview
We are seeking a motivated Entry-Level Office Administrative Coordinator & Client Services Coordinator to join our team in a dynamic office environment. This full-time or part-time role offers an excellent opportunity for individuals interested in gaining comprehensive administrative experience, supporting client relations, and developing organizational skills. The ideal candidate will be detail-oriented, proficient in office software, and possess strong communication abilities to ensure smooth daily operations and exceptional customer service.
Responsibilities
- Manage front desk duties including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
- Assist with appointment scheduling, calendar management, and client correspondence
- Support bookkeeping activities such as invoicing, billing, and basic financial record keeping
- Provide excellent customer service by addressing client inquiries via phone, email, or in person
- Proofread documents for accuracy and clarity before distribution
- Handle administrative tasks such as photocopying, scanning, and faxing documents
- Support medical or dental office operations if applicable, including patient check-in/out procedures and insurance documentation
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks or similar accounting software is preferred
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with attention to detail for data entry and document management
- Effective phone etiquette and customer service skills for front desk interactions
- Ability to multitask efficiently in a fast-paced environment while maintaining professionalism
- Clerical experience including filing, record keeping, and managing multi-line phone systems is desirable
- Strong typing skills with proofreading capabilities to ensure error-free communication
- Prior administrative experience or medical/dental office experience is a plus but not required; training will be provided for specific duties like bookkeeping or dental receptionist tasks

Pay: $46,500.00-$55,500.00 per year
